Role

As Executive Assistant, you will provide administration support for the President of the company as well as ad hoc support for the VP of Engineering and the VP of Product.  Duties may range from scheduling meetings and travel, supporting our investor relations , event coordination and planning, among others.

Responsibilities

  • Provides strategic and operational support to the President and manage multiple projects simultaneously across various orgs and teams including but not limited to Product, Engineering, Operations, among others
  • Engagement is required with other senior leaders of the organization, which may include C-level and external executives
  • Manages heavy calendar and meeting management responsibilities, to include worldwide travel planning and scheduling, as well as expense reconciliation, in a company experiencing rapid growth
  • Proactively addresses all aspects of travel such as weather, COVID-related travel restrictions, and destination advice to executives, to ensure effective use of time and resources to promote productivity
  • Able to stand proxy for executives during external planning and logistics calls or other meetings requiring executive commitment
  • May draft presentation materials and briefings for quarterly business reviews, board of director meetings and industry conferences or similar
  • Assist in formulating and tracking the departmental budgets, including hotel and meeting space procurement, contract negotiation, vendor management, room block management, team building activities, travel and ground transportation logistics, catering, etc.
  • Proactively prioritize executive's time based on major initiatives and other priority items

Requirements

  • Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality
  • Executive interfacing skills, particularly in written and verbal communication -- ability to communicate clearly and concisely across all levels of the organization, with maximum attention to detail
  • Ability to thrive in an environment that is often fluid with elements of uncertainty
  • Assist with complex project management across multiple organizations requiring finesse, flexibility, and patience. Prioritize workflow and deliverables as objectives and business needs dictate
  • Advanced GSuite skills 
  • Possesses professional expertise, applies company policies and procedures to resolve a variety of issues
  • Works on problems where analysis of data requires review of a variety of factors
  • Exercises judgment within defined procedures and practices to determine appropriate action
  • Influences within the team and builds relationships outside of the immediate area to accomplish objectives
  • BA/BS or equivalent educational background is preferred
  • Minimum 5 years of relevant professional experience in direct executive support
  • Routine engagement experience at the VP or SVP executive level is required
  • PMP Certification is a huge plus!
