We have an opening for an Administrative Clerk II for Jimmy Naifeh Center at Tipton County at our Dyersburg State campus!
General Description:
Provides administrative and clerical support to the DSCC Jimmy Naifeh Center.
Duties and Responsibilities:
Serve as Administrative clerk to the Dean of the JNC.
Serve in a receptionist role while supporting various administrative functions of the Center.
Complete travel requests and authorizations and purchase requisitions for the JNC.
Provide support services to faculty and students.
Manage office technology, i.e. copiers, fax machines, telephones, etc.
Serve as a primary customer service agent for students who register for classes at the Center.
Assist students in scheduling appointments for advising and testing in Appointments Plus software program.
Assist students in utilizing the EAB Navigate app to schedule appointments directly with Master Advisors and in understanding the prompts generated by the app.
Utilize the Banner software program to assist students with financial aid and student registration needs.
Assist with planning and completion of College stakeholder events.
Collect tests and other course materials for faculty when necessary.
Provide accurate information and pertinent forms relating to all Admissions Office and Business Office requirements in a timely manner.
Provide job related forms for new instructors and current faculty.
Assist students with the registration and priority registration processes for credit and noncredit courses.
Establish and maintain classroom schedules and other room assignments.
Process key requests for faculty and staff.
Lift and move equipment and furniture.
Maintain office files that are pertinent to this position.
Maintain an office supply list and occasionally order supplies when needed.
Provide minimal leadership and support to student organizations when necessary.
Occasionally serve as a courier between the Center, local financial institutions and area high schools as required.
Assist with Recruitment & Retention call lists each term for registration processes.
Maintain the JNC calendar/room reservations/event planners.
Complete Facility Use Agreements w/Routing Sheet.
Complete Art Loan Agreements w/Routing Sheet.
Process Journal Vouchers for Dean of the JNC.
Maintain classroom matrix for the JNC.
Provide copier reports to print shop.
Maintain signage on building entrances/calendars.
Distribute Eagle Times to appropriate places at the JNC.
Maintain brochure racks.
Assist with the administration of faculty evaluations.
Serve as a cashier for the Business Office.
Maintain and update binders for directories, building information, policies Touchnet, Contracts, Financial Aid, Banner, Argos, Continuing Education and Advising.
Maintain Tickler files for events.
Update mailboxes for JNC mailroom.
Perform other duties as assigned.
Working Conditions:
Sedentary: Deskwork; occasional travel may be required for college or program activities. Normal range of movement required. Minimal Hazard/Exposure: Standard office settings. At least minimal environmental controls to assure health and comfort.
Required Qualifications:
Ability to communicate effectively with internal staff, students, and community stakeholders.
Excellent planning, organizational, customer service, and communication skills.
Ability to work independently and make decisions.
Minimum Requirements of Education and Experience:
High school/GED graduate.
Minimum of two years of clerical office experience with working knowledge of Microsoft Word, Excel and Outlook.
