Routine duties include: managing the departmental front office and shared areas, including the conference rooms, breakroom, and mail/work room; assisting faculty and staff with procurement and inventory of supplies and materials; assisting the academic advising office with student records and advisor scheduling; and assisting with new student inquiries and conferences. Responsibilities: Provides primary support for the departmental administrative office, i.e. answering telephone, handling mail, office equipment, and supplies. Assists faculty and staff with purchase orders for supplies and materials. Assists the departmental faculty and staff with setup for special meetings, student conferences, etc. Assists the departmental faculty with special requests that support their research and teaching. Assists the academic advising office with student inquiries, records, and scheduling. Assists the academic advisors with special reports regarding students. Develops procedures for complex or specialized functions. Responds to inquiries and interprets rules, regulations, policies, and procedures. Coordinates travel arrangements and prepare itineraries. Helps coordinate meetings, seminars, and other special events. Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives. May hire, train, and supervise student workers and support staff. Other duties as assigned. Required Education: High School Diploma or equivalent combination of education and experience. Required Experience: Five years of related experience. Knowledge, Skills, and Abilities: Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to work in a high stress environment. Ability to work with sensitive information and maintain confidentiality. Ability to work independently once given a project. Other Requirements: Work beyond normal office hours and/or work on weekends. All positions are security-sensitive.
