Position Summary
The Trust Operations Associate is responsible for providing operational support to the Trust Division.
Principal Duties and Responsibilities
Partner with Trust Administrators and broader Trust & Wealth Management Team to strengthen client relationships
Partner with team to uncover client needs and deliver solutions
Prepare documents and presentations
Schedule client meetings and manage Trust Administrators calendars
Create, gather, and organize documents for client meetings
Answer incoming correspondence via phone; mail and email
Greet clients and visitors that come into Division
Maintain client records, compliance files, manage sensitive, confidential, proprietary information with discretion
Make entries into primary Trust systems.
Prepare applications; account pre-acceptance; account acceptance and related forms for signature
File\scan documents and work papers for accounts and committees as assigned
Gather information and prepare agenda and packet for Trust Administrative Committee; Trust Administrative Sub Committee; Trust Investment Committee and Trust Committee
Document procedures and process flows, and ensure they are kept accurate
Other Responsibilities
Support and promote the Bank vision, mission and core values, organizational structure and policies and procedures.
Comply with federal and state regulations as well as all established Bank policies and procedures.
Perform other duties as assigned.
Qualifications, Education and Experience Requirements
High School Diploma or equivalent required; college degree preferred
Microsoft Suite of applications proficiency
Knowledge of general office procedures (e.g., scanning, filing, correspondence, scheduling, expenses, calendar)
Knowledge of Life Insurance Policies considered a plus
Knowledge of Trust and Wealth Management terminology considered a plus
Ability to communicate with clients; vendors; CPA’s; attorneys and other professionals
Ability to work in a team based environment
Operational and/or Client service experience
Experience in Trust/Wealth Management/Legal environment preferred
Experience interfacing with outside vendors (i.e., Custodians, Life Insurance Companies/ Real Estate appraisers, etc.)
Effective interpersonal, communication and presentation skills
Excellent telephone etiquette
Ability to maintain confidentiality
Must have excellent analysis, observation and decision making skills.
Highly focused, able to rapidly determine key priorities, clearly communicate the priorities and ensure resources are properly aligned.
Excellent interpersonal and communication skills are necessary for maintaining effective relationships with clients, board members, officers, employees, and members of the business and civic community.
Individual should be able to work under high pressure situations and a stressful atmosphere and then should remain composed.
Must be able to be physically present in the Bank to perform job duties.
