Job Description:
Texas Society of Professional Surveyors (TSPS) is a non-profit organization based in Austin, Texas. The position of Administrative Assistant will assist the Executive Director and the President. The Administrative Assistant will provide administrative services to support the business and membership of TSPS. The position requires a hands-on, detail-oriented professional who is a team player. Responsibilities include, but are not limited to:
Membership, Committees, and Chapters:
a. Process membership applications, invoicing and payments
b. Respond to membership inquires
c. Administer forums/groups
d. Manage association management software actions and alerts
e. Send new member list to the board of directors and chapter presidents monthly
f. Send new NSPS member list to NSPS contact
g. Serve as TSPS liaison to committee chairs and chapter presidents
h. Support and assist committee chairs
i. Support chapter elections
Financial:
a. Coordinate collecting receipts for the bookkeeper
b. Coordinate with bookkeeper to obtain monthly financial reports
c. Ensure that required remittances, payables and receivables are current and documented
Administrative:
a. Order office supplies
b. Schedule office maintenance
c. Order books and merchandise
d. Process and fulfill merchandise orders
e. Answer the phone
f. Update NSPS and Chapter spreadsheet with new members
g. Manage incoming mail
h. Update membership information if returned
i. Manage website
j. Initiate ideas to improve website
Communications:
a. Make regular posts on social media
b. Manage content
c. Design marketing materials
d. Promote land surveying as a profession on social media
e. Promote surveyors during National Surveyors Week
Events:
a. Process seminar registration payments
b. Develop and update attendee auto-confirmations through website
c. Maintain an organized filing system for certificates and rosters
d. Manage volunteers for the registration desk and the pubs and merch booth
e. Assist Programs Committee in developing sponsorship opportunities and registration fees
f. Manage exhibit sales, sponsorship funds
g. Attend Convention, Symposium, and Board of Directors Meetings
h. Assist attendees, staff, speakers, exhibitors, volunteers and facility personnel with any needs that may occur
Other Responsibilities:
a. Compile reports to create a Board Book for Board of Directors Meetings
b. Attend TSPS Board of Directors meetings
c. Other duties as assigned by the Executive Director
Internal Relationships:
a. Reports to the Executive Director
b. Works closely with the President
External Relationships: Has frequent contact with members, Officers, Directors, committee members, vendors and the public
Required Skills and Qualifications:
a. Proficiency with Word, Excel, and QuickBooks software
b. Experience with the various social media platforms
c. 4 or more years of administrative experience
d. Self-motivated with ability to work independently and adapt to a dynamic environment
e. Ability to effectively work with a changing and diverse volunteer leadership
f. Exceptional verbal and written, communication skills
g. Strong work ethic
Preferred Skills & Qualifications:
a. Association management software experience
b. Bachelor’s degree or equivalent in business, land surveying, finance, public administration, or similar
Job Type: Full-time
Pay: $22.00 - $28.00 per hour
Expected hours: 40 per week
