Description
The Tax Accountant is responsible for effectively managing all sales and use tax functions including the preparation and filing of state sales and use tax returns, managing internal and external audits and oversees the management of exemption certificates. Prepares documents for third party accountants to file foreign GST & PST returns and requests ACH payments through online banking. Coordinates accrual and payment of property taxes, enters adjusting entries and reconciles the respective general ledger accounts. Advises others on sales and use tax, GST, PST, 1099 reporting issues and registration requirements for each state.
ACCOUNTABILITIES
Administrator of sales & use tax calculation software and tax preparation software. This includes managing company information, interacting with software vendor and other Company employees, importing sales and purchase records from multiple sources into the software, reconciling balances to the GL and approving the returns for filing.
Administrator of exemption certificates. Manages Company’s policies for the collection and acceptance of exemption certificates. Manages internal audits. Advises Finance, Sales and Credit personnel as well as customers on complex tax regulations regarding exemption certificates. Also prepares resale and exemption certificates for Company’s exempt purchases.
Prepare and file paper and online sales and use tax returns; prepares check and ACH requests. Initiates payment requests for GST and PST through online banking.
Prepare and reconcile documents for sales, use, GST and PST taxes; enter adjusting entries and reconciles to general ledger.
Prepare for sales, use, GST and PST audits. Interact with the auditors to provide requested information.
Prepare and review various Decision Analyzer. Mainframe and Access reports to ensure integrity of customer account information.
Manage W-9’s and W-8’s collected by the AP department using exemption certificate software.
Determine which transactions are subject to 1099 reporting by merging data from multiple sources. Import data into 1099 software, print and mail forms to vendors. E-file 1099’s to IRS for TTI, and when necessary, other companies/subsidiaries.
Prepare check requests and mail payments for property taxes. Reconcile property tax payments and accruals to the general ledger.
Respond to inquiries from customers, employees and government agencies regarding tax refunds and certification compliance.
Stay current on sales tax law and rule changes.
Interpret government rules and regulations and applies them to actual situations; researches and makes inquiries to appropriate agencies regarding specific questions.
EDUCATION & EXPERIENCE
Bachelor’s Degree in Accounting or Finance or related field required. Three plus years related experience is preferred.
SKILLS & CERTIFICATIONS
- Advanced working knowledge of sales tax management.
- Intermediate to advanced knowledge of regulations related resale/exemption certificates for all states.
- Experience with Avalara’s AvaTax and Certcapture is a plus.
- Intermediate proficiency with Microsoft Excel and knowledge of Microsoft Access, Outlook, and Word.
- Ability to work in a fast paced, high transaction environment with strong attention to detail and multi-tasking skills.
- Strong problem solving and organizational skills.
- Solid decision-making skills including ability to analyze impact of decisions before execution.
- Exhibits strong verbal and written communication skills.
