Schedule: Monday-Friday, 8:30 am-3:30 pm (weekend and evening hours possible)
General Description: The Administrative Assistant works to provide general administrative and clerical services. Working under the supervision of the Director of Day Services, the Administrative Assistant will perform a variety of administrative services.
This position is responsible for computer/database support, direct clerical assistance within all aspects of office operations. Position will have considerable contact with all levels of the organization. Excellent organizational skills are required.
Minimum Qualifications:
· High School diploma or equivalent with minimum two years’ relevant experience in a similar role
· Excellent written and verbal communication skills as well as interpersonal skills
· Database and word processing skills to proficiently use Microsoft Office programs including creation and implementation of Excel spread sheets
· Ability to maintain and ensure the protection of confidential information
· Office management skills including use of facsimile, copier postage meters, voice mail messaging systems and computer scanning equipment to complete departmental tasks
· Proactive, able to take initiative, well-organized with the ability to work quickly with attention to detail
· Exceptional attendance and punctuality
· Ability to multi-task with the ability to work independently or as part of a team is required
Job Responsibilities
· Work with individuals with a variety of abilities
· Greet visitors and staff to building to ensure signing in/out of building and direct to appropriate destination
· Process and distribute agency mail
· Answer the phone in a positive and professional manner and direct calls to the correct individual
· Timely completion of internal and external correspondence, form letters and other documents, checks for spelling, grammar or other errors and distributes as directed
· Ensures the safeguarding of all confidential files and protects the privacy of individuals
· Assess and maintain documentation in accordance with program requirements
· Maintains adequate office supplies and materials, orders meals and arranges for equipment repairs
· Ensures contract expirations are addressed in a timely manner to ensure that no service interruptions occur on existing agreements
· Provide direct care support and supervision as needed
· Represent The Arc of Bristol County, Inc. while in the community in a positive and professional manner, consistently communicating the agency’s philosophy and mission. This includes interactions with all stakeholders: individuals, family members, caregivers, guardians, community partners, etc.
· Perform other duties as assigned
