Position Description
The Administrative Assistant works closely with the Principal to provide him/her with administrative, communication, and compliance support. The Administrative assistant is responsible for maintaining attendance in the school’s student information system (SIS) and providing a broad array of assistance to students, parents, instructional, and support employees as directed by the Principal.
Responsibilities and Duties
- Manages the daily school attendance records to ensure accuracy and reports this information to the CEO and CFO as required
- Works with external vendors to ensure that MOSIS Core Data reporting is accurate
- Creates the annual calendar in the school’s SIS
- Supports the Principal by evaluating situations (e.g., involving other staff, students, parents, the public, etc.) to take appropriate action or direct to appropriate personnel for resolutions
- Supports the receptionists, when necessary, to greet all incoming visitors and ensure that they receive excellent service
- Maintains various computerized and manual records, files, and department databases (e.g., information packets, rosters/listings, calendars, outstanding supply orders, etc.) to document activities, providing reliable information and complying with district, state, and federal requirements
- Maintains office inventory materials (e.g., forms, office supplies, etc.) to ensure items’ availability
- As directed by the Principal, orients new campus personnel regarding appropriate school and district practices (e.g., directions, building procedures, etc.) to assimilate new personnel into campus operations effectively
- Performs record-keeping and general clerical functions (e.g., scheduling, copying, faxing, mailings, etc.) to provide information or materials as needed
- Prepares various reports and written materials (e.g., correspondence, minutes, newsletters, Parent Handbooks, bulletins, programs, annual reports, master calendar, etc.) to document activities and convey information per district, state, federal, and administrative requirements
- Processes documentation and materials (e.g., mail, supplies, registrations, forms, field trip forms, student database updates. etc.) to disseminate information to appropriate parties for action
- Responds to inquiries from a wide variety of internal and external parties (e.g., staff, parents, students, public agencies, etc.) to provide information, facilitate communication among departments, and provide direction as may be required.
- Schedules various activities (e.g., meetings, testing arrangements, assemblies, special programs, referral appointments, etc.) to assist in meeting staff needs and efficiently utilizing personnel, equipment, and facilities.
- Maintain positive relationships with students, parents, guardians, staff, administrators, and community partners.
- Perform all work duties and activities per The Biome School policies, procedures, and safety practices.
- Executes additional duties as directed by the Principal

Qualifications
- A minimum of 2 years of related experience
- Associates or bachelor’s degree a plus
- Self-motivated and the ability to work with minimum supervision

- Competency using Microsoft’s Suite of productivity software, especially Excel
- Excellent written and verbal communication skills

- Experience working with students from underrepresented communities
