Upper School Coordinator
The Calhoun School, a progressive independent school located on Manhattan's Upper West Side, is seeking a full-time Upper School Coordinator starting August 2022.
The Upper School Coordinator reports to the US Director and supports the Leadership Team, faculty, and students in the daily operations and programs of the Upper School. The successful candidate will have strong interpersonal skills, and will have demonstrated excellence in detail-oriented tasks. Ideally, they will have had success supporting an Academic Office, confidentially maintaining student, parent, and faculty databases, receiving and responding to communication regarding daily life and programs of the school, and coordinating logistics within the office. The candidate will work closely with all constituencies of the US division.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES/DUTIES/TASKS
Administrative Support

Anticipate the needs of the administration, faculty and students

Day-to-day assisting with the organization and communication in US
-
Coordinate larger repairs or maintenance issues for long breaks with the Facilities Staff (cleaning out lockers, painting, installation of boards, etc.)

Organize and maintain US monthly calendar for trips, assemblies and other schedule changes (rehearsals, etc.) Advise MS Leadership Team regarding calendar

Set-up maintenance requests for parent coffees and other events

Send US announcements to faculty and staff

Take & deliver messages for US students & US Director during school day

Maintain monthly US credit card statement, purchase orders, Staples card

Organize materials for new teacher/mentor meetings

Coordinate communications to US families

Assist with attendance, as needed
-
Organize materials for opening faculty meetings
-
Assist with organizing materials for new teacher/mentor meeting
-
Preparing student/faculty packets for school opening
-
Assist with planning of new student orientation
-
Assist with form distribution and data entry for US trips and events
Student Support

Assist in supervising students when needed
-
Monitor US floor for maintenance and supplies
-
Distribute and maintain log of US locker assignments

Assist Leadership team with new student orientation

Work with MS on Shadowing program and other transitional experiences

Assist Leadership team with transition from MS to US
-
Assist with form distribution and data entry for Upper School programs (cluster selection, Spring Session, etc)

Assist with logistics and planning of all trips by collaborating with various trip leaders
Faculty Support

Assist with development of parent/teacher conference calendar

Organize materials for opening faculty meetings

Place orders for materials, when needed

Preparing student/faculty packets for start of school opening
Special Position Requirements

Coverage of classes when needed

Available to go on overnight trips, if needed

QUALIFICATIONS REQUIRED

Knowledge of Microsoft Office applications and Google Workspace

1-3 years experience working in an education-related setting preferred

4-year undergraduate degree, preferred
