The Production Assistant supports event planning and production of events efforts, working to assist our production teams in creating stunning experiences in our venues. Working with small to large scale events with a range of weddings, corporate and convention business.
RESPONSIBILITIES:
Event Files
Gather necessary information; prepare/send updated proposal throughout the planning process
Update Caterease software system with current event details for design, beverage selection, menu selection and rentals.
Request file quotations as needed, deposit schedules and all related documentation to be accurate throughout the process.
Process and share at BEO meetings all intercompany paperwork (i.e. Yellow Sheets, Liquor Order, Follow Up Forms, props, special orders, 3rd party vendors).
Event Planning
Coordinate tastings and be present for clients.
Attend site walk throughs and assigned events
Sourcing creative elements and vendors for client requests
Learn the Event Manager’s responsibilities and in so doing function as an Event Manager on events to demonstrate full knowledge and understanding.
Client Relations
Respond promptly to all client inquiries; listen attentively to understand their vision to create a dynamic and exciting partnership through planning. 100% focus on creativity and confidence.
Proactively assist clients with any questions.
Maintains accurate, detailed and complete notes for each client.
Establish and develop positive relationships with clients and vendors
Audits and Controls
Assist in client invoicing and collection of receivables (working in a pro-active manner in regards to collecting payments in advance of event for a clean billing process.
Distribute complete and accurate Event Sheets to kitchen staff 14 days prior to event, in order to maximize their efficiency and reduce food costs
Close out event files and gather financial information and creation of final invoices.
As necessary and requested complete any duties needed to ensure achieving the mission of The Catered Affair.
PREREQUISITES/QUALIFICATIONS:
EDUCATION / EXPERIENCE
Experienced and competent in the use of Microsoft Word, Excel and Caterease.
Skilled in computer and technology applications, with ability to problem solve hardware and software.
BA desirable, but not required
1 years hands-on sales administration experience preferred. Internship experience included

Demonstrated food knowledge and aesthetic sensitivity in menu design and presentation
A strong sense of urgency to ensure tasks are completed on time
Ability to consistently confirm delegated duties to ensure accurate understanding'
