Job Overview: We are seeking an Executive Assistant/Director of Operations to provide comprehensive support to our operations team. This role involves managing daily administrative tasks, assisting with project management, enhancing team communication and productivity, and coordinating team events and meetings. While real estate knowledge is a plus, it is not required; we value a proactive, organized approach and the ability to manage multiple priorities effectively.
Responsibilities:
- Administrative Support: Manage day-to-day administrative tasks, ensuring high levels of organizational effectiveness, communication, and safety.
- Project Coordination: Use tools like Asana to monitor project timelines and deliverables, ensuring all tasks are on schedule.
- Operational Support: Assist in daily operational reviews and performance monitoring, identifying areas for improvement.
- Communication Management: Handle internal communications, ensuring timely and accurate distribution of information.
- Meeting and Event Coordination: Schedule and organize meetings and team events, including preparing agendas, booking venues, coordinating catering, and managing logistics. Follow up on action items from meetings.
- Document Management: Prepare and manage documentation, including reports, presentations, and other essential forms of communication.
- Process Optimization: Suggest and implement improvements to internal processes to increase efficiency across our operations.
Qualifications:
- Proven experience as an Director of Operations / Executive Assistant or similar administrative role.
- Excellent organizational and time-management skills.
- Proficiency in MS Office, google and familiarity with project management software (e.g., Asana).
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize daily workload.
- High degree of attention to detail and discretion.
