Hours: Monday-Thursday 7:30am-5pm and Fridays 7:30am-2pm

We are seeking a highly organized, detail-oriented Executive Assistant to support our Chief Operating Officer. This role requires a blend of administrative competencies and an understanding of the construction industry. The ideal candidate will be an excellent communicator, capable of managing multiple priorities in a fast-paced environment, and will play a critical role in the smooth operation of our executive team’s activities.

Responsibilities:

  • Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Act as a liaison between the executive team and other staff, external partners, and stakeholders, ensuring effective communication and the timely flow of information.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executive team.
  • Assist with project documentation, including contracts, proposals, and reports, ensuring accuracy and compliance with industry standards and company policies.
  • Manage and organize project-specific information, ensuring easy access and retrieval by the executive team.
  • Support the executive team in project management tasks, including tracking project timelines, milestones, and budgets.
  • Coordinate and prepare for executive meetings and presentations, including material preparation, agenda setting, and follow-up actions.
  • Handle confidential information with discretion and integrity.
  • Assist in the coordination of special projects and company events as needed.
  • Contribute to the continuous improvement of administrative processes and procedures.

Required Skills and Abilities:

  • Comfortable working in a construction environment

  • Must have clean driving record and current valid driver license
  • Reliable transportation

Education and Experience:

  • Minimum of 4 years of experience as an Executive Assistant reporting directly to senior management
  • 2 plus years’ experience with Project Management
  • Advanced Microsoft Office skills, with an ability to learn other programs and software
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Valid Driver License

Job Type: Full-time

Pay: $60,000.00 - $80,000.00 per year
