Job Summary:
We are seeking a dedicated and compassionate Patient Representative to join our healthcare team. As a Patient Representative, you will play a vital role in providing exceptional customer service and administrative support to patients in a medical office setting. Your primary responsibility will be to ensure that patients have a positive experience during their visit and receive the necessary assistance with their administrative needs.

Duties:
- Greet and check-in patients with a smile upon arrival, ensuring accurate demographic and insurance information is obtained

- Set the atmosphere for a healing and peaceful environment that is warm, supportive, caring, and joyful. Comfort patients by anticipating their needs.

- Register and check-in patients promptly (new patients within 15 minutes and established patients 2-3 minutes).

- Schedule patient appointments and follow-up visits, coordinating with healthcare clinicians and other staff members

- Answer phone calls, respond to inquiries, and provide information about services offered
- Collect patient payments, verify insurance coverage, and process billing information

- Perform billing charge entry and other check out procedures

- Schedule in-network patients
- Maintain patient records, ensuring accuracy and confidentiality of sensitive information
- Assist with medical administrative tasks such as filing, scanning, and organizing documents
- Collaborate with healthcare professionals to coordinate patient care and address any concerns or issues
- Provide exceptional customer service by addressing patient inquiries, resolving complaints, and ensuring overall satisfaction

- Remind established patients of their appointments at least 24 hours prior to appointment.

- Remind and verify check-in details for new patients of their appointments at least 72 hours (about 3 days) prior to appointment

- Notify clinician of patient’s late arrival to include rescheduling or moving late arriving patients when necessary

- Maintain a same day cancellation list of patients to fill clinicians' schedules for cancellations or no shows

- Maintaining a clean and presentable front office, reception area, hallway, bathroom, and viewable kitchen area

- Assist other staff members with their duties as workload allows

- Oversee and reply to patient written communication with the office including but not limited to business email, wix-business webpages, and social media communications

- Other responsibilities as given by and accepted by office administration

- Cross training and training inexperienced staff

- Follow rooming procedures and turnover between patients

Requirements:
- Previous experience working in a medical office, or medical administrative support role is highly preferred (at least 3 years experience)
- Familiarity with medications, medical terminology and procedures is advantageous
- Excellent communication skills, both verbal and written
- Strong organizational skills with attention to detail
- Proficient in using office software applications (e.g., Microsoft Office Suite)
- Ability to multitask and prioritize tasks in a fast-paced environment
- Compassionate demeanor with the ability to empathize with patients' needs
- High level of professionalism and integrity when handling sensitive information

-Comfort using and answering the phone and directing calls.

- Typing 40-45 wpm

- Detailed data entry

- Management of records, both physically and electronically
