Summary

The Contract Administrator works closely with fellow Sales Operations colleagues, as well as cross-functionally with multiple internal teams in the execution of the Pre-Award RFQ process, submitting proposals to customers for railcar opportunities.  This position requires someone with a high degree of flexibility to respond to shifting priorities in a fast-paced, deadline-driven atmosphere. Duties and Responsibilities

To perform this job successfully an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.

  • Draft direct sale and lease proposals for new build and existing railcars, working closely with the Sales and Leasing Teams.
  • Interface and act as liaison with other departments across Greenbrier to assemble supporting information and documentation and secure required internal approvals to fulfill customer RFQ requirements and meet deadlines.
  • Distribute internal support documentation for closed and amended transactions to appropriate departments with a full understanding of the business-related points of each contract.
  • Manage primary responsibility within the Sales Operations team for existing railcar transactions, including invoicing and issuing closing documents, working closely with the Leasing team.
  • Ensure accuracy and data quality in SalesForce and other internal repositories to capture the details of the life of a transaction.
  • Take ownership of the RFP queue, including management of due dates, and exercising of independent judgment and decision making related to meeting customer requests.
  • Take initiative to be proactive, ask questions, identify and suggest improvements to enhance the Pre-Award RFP workflow as well as overall Sales Support activities and interactions with cross functional teams within Greenbrier.
  • Carry out additional administrative tasks as needed, as well as respond to internal inquiries following established company procedures and guidelines.
  • Support Greenbrier’s strategic initiatives, vision and values including collaboration, quality, creativity, and passion to deliver a great experience and business value to internally and externally focused tasks.

Qualifications

The following generally describes requirements to successfully perform the assigned duties.

 

Minimum Qualifications

  • 3-5 years’ experience working in a high-volume sales department or other demonstrated professional knowledge of contracting and administration best practices.
  • Undergraduate degree preferred, with business related coursework a plus. Equivalent related experience will be considered.
  • Strong work ethic with a high degree of flexibility to respond to shifting priorities in a fast-paced, deadline-driven atmosphere; able to maintain professionalism when experiencing change in work tasks and/or the work environment.
  • Exceptional time management skills, with demonstrated ability to prioritize high task volume and problem solve.
  • Excellent interpersonal skills to communicate effectively, verbally and in writing, with a variety of personalities, at all levels of an organization and within a team framework.
  • Strong foundation in MS Office applications with an emphasis on Word and Outlook. Aptitude for learning new systems and applications. Experience with Salesforce.com and DocuSign is helpful.
