What are the responsibilities and job description for the Real Estate Group Administrative Assistant position at The Jewett-Torres Group?
As the Group assistant you will be working with a small group of agents, focusing on transaction management, compliance, data entry, and marketing.
Administrative Assistant Responsibilities
- Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
- Monitor deadlines and provide notices to appropriate parties when necessary
- Ensure each transaction complies with legalities and any tax withholdings are complete
- Schedule necessary appointments with all parties, including open houses and the final walkthrough
- Schedule and coordinate social media and email marketing campaigns to go out to pre segmented blocks
- Help organize community outreach events to improve our standing in the local area
- Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand
- Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
- Deliver concierge-level customer service to sellers, buyers, and lenders to improve customer satisfaction ratings
- Participate in training sessions to improve skills with administrative tasks in the real estate industry
- Various personal assistant tasks as needed
Marketing Coordinator Responsibilities
- Streamline company materials and campaigns to ensure a consistent and concise message
- Create, deliver and edit marketing materials and advertising campaigns that are effective and timely
- Develop new community events and all signage to encourage and entice potential buyers
- Manage website design, content, SEO development and tracking analytics to ensure all content is up to date and relevant
- Update all Facebook, Twitter, Instagram, and other social media posts and respond to followers
- Support the company and agent by tracking incoming leads/prospects so marketing campaigns can be adjusted accordingly to help ensure company growth
- Plan and organize all team events, take photos, and then market on social media
Administrative Assistant Qualifications
- High school diploma or equivalent required
- Has knowledge of Microsoft Office and customer relationship management software
- Excellent written and verbal communication skills
Job Type: Part-time
Pay: $14.50 - $20.75 per hour
