We are seeking an experienced Office Administrator to join our team. Because of our dynamic small business environment, we are looking for an energetic team player who doesn’t mind wearing multiple hats. Our office needs a reliable, well-organized Office Administrator to take the lead in handling day-to-day operations with a focus on efficiency. The Office Administrator will also be responsible for supporting our staff in the field and in the office and helping to maintain consistent communication with our clients. Office Administrator Job Responsibilities
Oversee and support all administrative duties in the office to ensure smooth daily operations
Answer and direct incoming phone calls and respond to emails
Receive and manage information and status of all prospective clients
Set up, organize, and manage current client information and maintain records for past clients
Assist with project set-up tasks
Maintain consistent communication with clients including coordinating/scheduling initial consultation, confirming project start date, sending and following up on invoices, etc.
Accounts receivable and bank deposits
Prepare and review accurate weekly payroll and payroll taxes for hourly and salaried employees
Provide various types of administrative support to our staff in the field and in the office
Manage office supplies inventory and place orders as necessary
Develop office and field policies and procedures and ensure they are implemented appropriately
Communicate critical information to employees as needed
Keep management informed by preparing, reviewing and analyzing special reports as required
Improve organizational processes, productivity, and efficiency
Identify opportunities for process and office management improvements, and design and implement new systems
Assist with recruiting, selecting, orienting, and training employees
Receive and sort incoming mail and deliveries and manage outgoing mail
Provide other administrative support to the owner as needed including contract writing, appointment scheduling, etc.
Assist the bookkeeper and the accountant as needed
Annual renewal of health insurance and as required for new employees
Office Administrator Qualifications/Skills
Must be proficient with Microsoft Office, Quickbooks, and Adobe
Exceptional attention to detail and ability to prioritize
Strong organizational and time management skills
Strong problem-solving skills and analytical abilities
Excellent communication and interpersonal skills
Self-starter and intrinsically motivated
Flexible team player and understanding of the nature of small business
Understanding of general finance and budgeting, including profit and loss, balance sheet, and cash-flow management.
Must be willing to learn and implement new software
Education and Experience
3-5 years of work experience in an administrative management role
Bachelor's degree in business administration, communications, or related field(s) (preferred)
Work experience in the construction industry (preferred)
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
