Job Posting for Legal Secretary/Administrative Assistant at The Kyle Law Firm
We are currently seeking a skilled and organized Legal Secretary to join our team. In this role, you will be responsible for providing administrative support to attorneys and managing office operations, including front desk duties such as answering phones, taking messages, and meeting and greeting clients. The ideal candidate will have a strong background in legal administration, with a keen attention to detail and excellent communication skills.
Responsibilities:
Manage attorney calendars, including scheduling appointments, meetings, and court appearances
Coordinate travel arrangements and accommodations for attorneys and clients
Prepare and proofread legal documents, correspondence, and reports
Maintain electronic and physical filing systems, ensuring accurate and organized records
Assist with document production, including drafting and editing legal documents and correspondence
Answer phone calls, screen inquiries, and handle client communications with professionalism and discretion
Manage front desk duties, including greeting visitors, answering phones, and directing inquiries
Take messages and relay important information to attorneys and staff in a timely manner
Provide administrative support to attorneys, including photocopying, scanning, and filing documents
Perform other administrative tasks and projects as assigned
Requirements:
Proven experience as a legal secretary or legal assistant, preferably in a construction law firm or related field
Strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite and legal software applications
Excellent communication and interpersonal skills
Ability to prioritize tasks and manage multiple deadlines effectively
Familiarity with legal terminology and procedures
Previous experience managing calendars and coordinating travel arrangements is preferred
