We are a growing immigration law firm in need of a reliable and proactive Legal Executive Assistant.
Job Responsibilities
- Performs administrative and clerical support functions for the founding attorney.
- Manage founding attorney’s appointment schedule by scheduling of meetings, appointments, travel, due dates and client-related activities.
- Respond to founding attorney’s emails on her behalf on routine matters.
- Manage founding attorney’s correspondence inbox and manage all follow-up to meet assigned deadlines.
- Assists with highly confidential functions: credit card usage, document organization, and client information.
- Performs advanced, diversified and confidential secretarial and administrative duties, i.e. prepare correspondence/reports, maintain appointment calendars, set up meetings and travel itineraries, arrange conference calls, etc.
- Serve as a communication intermediary between the founding attorney, and other Firm employees, and external contacts when needed.
- Receive clients and visitors to the Firm and relay messages as needed.
- Provides support to Operations Manager and Human Resources Manager on administrative tasks and projects.
- Work closely with receptionist / office assistant to coordinate tasks and discuss projects.
- Assist with various events, including but not limited to, sending out invitations, tracking responses, reservations, food and beverage requests, and event details.
- Proactively assist and provide assistance to other team members when workload permits.
Qualifications and Requirements
- Five years of experience as an administrative or executive assistant preferred
- High school diploma required; Bachelor’s degree preferred
- Excellent organizational and clerical skills
- Exceptional customer service skills in person, over the phone and via email
- Strong attention to detail and ability to work independently and proactively
- Reliable, responsible, accountable, and resourceful
- Computer proficient, experience using Microsoft Office products such as Word, Excel, and PowerPoint
- Must be able to perform all essential duties
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
