Job Summary:
Under minimal supervision, provides administrative assistance to the Head of School and the Assistant Head of School, coordinates daily and yearly operations, supports communications, and provides support to administrators.
Executive Assistant
- Provides general administrative and organizational support to Head of School, Assistant Head of School, and Meridian’s School Board
- Manages the Head of School and Assistant Head of School calendar, including scheduling meetings with faculty/staff, parents, and board members, and coordinating logistics
- Understands yearly school calendar and cycle of events to proactively assist in managing project timelines and scheduling times for the Head of School and Assistant Head of School to work on upcoming events, academic programming, projects, and communications
- Assists with monthly credit card reconciliation
- In collaboration with the Board Chair, organizes and prepares board packets, maintains the board drive, and provides other administrative support to the Board of Trustees as needed
- Manages board and committee calendars, scheduling meetings, and inviting attendees
- Assists with coordinating Board meeting and retreat logistics, including room reservations, ordering food, organizing supplies, coordinating event set up and tear down, and interfacing with vendors
- Assists the Assistant Head of School with curriculum subscriptions and ordering
- Coordinates parent-teacher conference registration
Operations and Logistics
- Manages the Administrative Associate to ensure the main office and school operations run effectively and efficiently
- Provides daily back up support for main desk, including but not limited to, answering inquiries, coordinating with parents, managing the school’s student database (Blackbaud), and performing school nurse duties
- In collaboration with the Administrative Associate, manages and monitors school security system and cameras, files police reports as necessary
- Manages data collection and completes compliances forms for school related databases and certificates, which includes DASL, private school certification, and other certifications as needed
- Manages building and processing back to school forms
- Oversees the management of the student database (Blackbaud)
- Manages back-end processing of bi-annual progress reports and parent-teacher conferences
- Supports human resource logistics, including posting open positions on school website, NWAIS, NAIS, and other job posting websites, interview coordination, and on boarding and off boarding support
- Sets up Google emails for new faculty and staff, and manages faculty, staff, parent, and Board Google groups
- Provides backup for communications needs, including sending push pages and editing communications
General
- Establishes and cultivates community relations by maintaining open dialogue with all of the school’s constituencies
- Actively participates in the full life of the school
- Vigorously engages in professional development; demonstrates a commitment to life-long learning by enhancing their skills, and embracing innovative technologies and creative thinking
- Is familiar with and complies with all policies and regulations as put forth in the school’s documents
- Takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials, and facilities
- Performs other duties as assigned
Required Education and Experience
- Associates degree from an accredited college or university
- 2 years’ office management experience in a fast-paced, customer-service oriented environment
- 2 years’ experience working with school-aged children and their families, including management of child health and safety
- Current certification in Adult, Child, and Infant CPR and First Aid
- Experience working in an independent school preferred

Compensation and Benefits:
Compensation is competitive with independent schools in the Seattle area. The annualized salary range is between $65,000 - $80,000, depending on years of experience.
