Schedule: M - F, Sunday. 25 hrs/wk
Location: Beverly Hills Area and remote
Starting Pay: $23.00 - $25.00/hr (based on experience)
Job Summary: The Miracle Project is seeking to hire a key team member! The Administrator is responsible for supporting day-to-day operations, programming, and general marketing while providing support to the executive team.
Roles & Responsibilities (Administrative):
- Correspond daily with families and visitors regarding current programs, schedules, events, etc.
- Respond to general emails/program inquiries, answer phone calls, and relay communications as needed.
- Facilitate intake process including tracking required release forms for participants.
- Oversee daily attendance tracking, class link distribution, private lesson coordination, and program calendar management.
- Manage participant data and distribute materials/information per HIPAA regulations.
- Maintain the organization’s file storage to ensure that all information is current and accessible.
- Ensure weekly upkeep of physical office space and mail distribution.
- Attend in-person programming weekly on Tuesdays and Wednesdays, as needed, so provide on-site administrative support.
- Other duties as assigned.
Roles & Responsibilities (Marketing):
- Provide support for in-person events as needed (e.g. resource fairs, fundraising events, public performances).
- Maintain organization’s social media presence.
- Take photos and conduct participant interviews for grant reporting and creation of marketing materials.
- Pull archived footage for presentations, marketing, and creative projects.
- Other duties as assigned.
Job Skills & Qualifications:
- Bachelor’s degree with at least two years of work in administration and/or data management.
- Experience maintaining spreadsheets and managing data.
- Ability to work in a primarily remote environment with a small team.
- Excellent interpersonal/professional communication skills; strong writing skills.
- Attention to detail, ability to exercise discretion, and strong organizational and time management skills.
Preferred:
- Previous experience with MindBody, Microsoft Office, Canva, Zoom, Wix, and Google Workspace.
- Interest or previous experience in nonprofit organizations and the performing arts.
- Experience working with neurodiverse populations.
- Sense of humor!
