We are seeking an Administrative Assistant on a contract basis to support our customer's ongoing business needs. This role will provide general administrative support to 2 - 3 Directors.
What You’ll Do:
General Support: Performs normal office functions such as setting up and maintaining files, interviewing callers and making proper referrals, arranging meetings and conferences, and receiving or answering mails
Handle email correspondence, report production, scheduling and meeting coordination and preparation
Make complex domestic and international travel arrangements, complete and review expense reports and handle confidential and sensitive material
Utilizes the company's online reservation system to ensure that the company travel policy is followed in order to provide cost-effective and convenient travel arrangements
Works with travel agents, airlines, and others regarding planning and customer service issues
Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures
Gathers, compiles, and reports on information relevant to the supervisor's assignment
Prepares expense reports and purchase orders and maintains office supplies, updates organizational charts, coordinates department or equipment moves
Reception: Responds tactfully and promptly to inquiries and problems within the scope of established authority
May serve as the central contact for general department information
Logistics: Coordinates a full range of meeting, event, travel arrangements, and manages calendars
Works with internal/external contacts for venue requirements and selection, room setup, catering, and materials delivery
Presentations: Utilizes computer skills to create high-quality graphic and text presentations often under tight timeframes
Interprets needs, determines and produces effective presentation layout, and organizes final documents
Prepares special reports requiring the selection of relevant information from a variety of sources
Maintains and updates ongoing reports or databases
The Ideal Candidate Must Have:
3 years of progressive experience in administrative support
Ability to multitask
Extremely organized, self-accountable, and tech-savvy
Ability to work in a fast paced, results-oriented environment
Possess strong organizational skills with the ability to prioritize multiple tasks
Ability to take initiative, follow-through on requests until completion and utilize a keen attention to detail
Strong reading, writing, math, and verbal communication skills
Advanced working knowledge of personal computers including MS Outlook, PowerPoint, Word, and Excel
Ability to work with a variety of personalities
Education:
Bachelor's Degree preferred
Hours & Location:
M-F, 40 hours/week . This role will be onsite at our Customer's Beaverton, OR office.
