Facility Coordinator
POSITION SUMMARY:
The Facility Coordinator plays a pivotal role in ensuring the smooth day-to-day operations and upkeep of The MAC facility. This position encompasses developing and implementing procedures for routine and annual maintenance activities, contributing to the creation and maintenance of an accurate annual facilities budget, and coordinating with third-party vendors to maintain a safe and functional work environment.

QUALIFICATIONS:
  • Education
    • Minimum: High school diploma or equivalent.
    • Preferred: Some college coursework.
  • Experience
    • Minimum: Two (2) years of experience in facilities maintenance, building operations, or a related field.
PREFERRED SKILLS:
  • Proficiency in Microsoft Office Suite, Adobe applications, and video conferencing software is preferred.
  • The ability to understand and adhere to all applicable local, state, federal, and ACA health and safety regulations is essential.
  • Experience and established relationships with local vendors are a plus.
  • A strong understanding of and/or experience with carpentry, plumbing, electrical systems, water systems, vehicle and machinery operation, and the associated maintenance practices is preferred.
  • Knowledge of maintenance procedures for landscaping is a plus.
ESSENTIAL FUNCTIONS:
  • Oversee daily maintenance activities (contractors & in-house facility technicians)
  • Manage inventory of equipment, supplies, and furniture
  • Ensure equipment functionality and adherence to procedures
  • Address facility-related service requests
  • Regularly communicate facility-related issues to the Director of Operations.
  • Responsible for responding appropriately to facility maintenance emergencies (HVAC/PTAC failure, power outages, water leaks, etc.) by taking initial actions, coordinating repairs, and ensuring resolution.
  • Purchase equipment and supplies within budget constraints.
  • Oversee and develop landscaping upkeep schedules.
  • Ensure adherence to safety standards.
  • Maintain clean and safe work areas in compliance with OSHA standards.
  • Identify needs for external expertise and coordinate with subcontractors.
  • Respond effectively to maintenance emergencies.
  • Proactively mitigate risks and make safety recommendations across departments.
  • Manage the conference center and coordinate room setup/breakdown.
  • Provide assistance to lobby and café operations as needed.
  • Performs all other duties as assigned.
WORKING CONDITIONS:
  • Position is primarily office-based, with occasional travel to meetings and outreach events.
  • Standard business hours are Monday-Friday, 8:00AM – 5:00PM
  • Occasional after-hours work, including evenings and weekends.
OTHER
  • Work Environment: Fast-paced office setting.
  • Physical Demands: The role requires frequent physical exertion, including lifting up to 50 lbs., bending, reaching, crawling, stooping, and climbing.
  • Physical Requirements: Good dexterity, hand-eye coordination, and visual acuity are essential.
  • Cognitive Skills: Strong analytical abilities and multitasking skills are required to solve problems and find solutions.
  • Professionalism: Maintaining a neat and professional appearance is expected.
  • Personal Qualities: Good judgment, adaptability, persuasiveness, self-confidence, and optimism are necessary traits.
  • Travel: Occasional travel for meetings and events is required.
  • Driver's License: A valid Texas driver's license, reliable vehicle, and minimum auto insurance are mandatory.
