Job Title: Senior Access Coordinator Department: James | James Ambulatory Clinic Scheduling Scope of Position The Revenue Cycle for The Ohio State University Wexner Medical Center is responsible for providing excellent customer service while completing the following responsibilities accurately and efficiently; processing patient demographic and insurance information, scheduling appointments, procedures, surgeries, and admissions, and continuously supporting patient and payer billing tasks and cash collection responsibilities. Areas within the Revenue Cycle include pre-registration, registration, pre-certification, financial clearance and counseling, financial assistance, scheduling, billing, claims follow-up, customer service and cash collection. The primary responsibility of staff within the Revenue Cycle is to optimally perform duties that ensure the collection of net revenue for services rendered while providing top of class customer service. Position Summary The Senior Patient Access Coordinator is an advanced position within the Revenue Cycle that provides non- medical support to patients, clinical care team members and the organization. In addition to the standard duties required by a PAC I/PAC II, this multi-dimensional position demonstrates advanced expertise in product, process or a service line area where patient care coordination across multiple disciplines is practiced and knowledge and understanding of multiple software systems is required to coordinate such care.This position is responsible for providing consumers (referring providers, clinical staff, payers and patients) with accurate, up-to-date information regarding products, services and procedures (including but not limited to Surgery, Radiation Therapy, Interventional Radiology, Interventional Cardiology, Transplant Coordination, and Endoscopy). A Senior PAC demonstrates an advanced ability to help patients understand complex medical information related to their healthcare journey within the organization. Position may include providing revenue cycle support for multiple new and return appointments and/or other appointments such as pre-surgical/procedural testing and consults, cardiac clearance, dental clearance, treatment planning, patient education, research appointments, etc. Position assures accurate appointments/surgeries/procedures are scheduled, accurate demographic and insurance information has been collected to support clinical and financial needs, and if needed, the Senior PAC is able to perform full registration duties in addition to scheduling and coordination activities. Precertification and financial counseling may also be carried out by this individual, therefore requiring basic knowledge of insurance and payer approval options and software.. A Senior Patient Access Coordinator provides ongoing support and effective communication to physicians and other clinical team members, patients and patient support systems by coordinating their requests and organizing and communicating in such a way that is clear and concise for all. A Senior Patient Access Coordinator is expected to create a positive first impression and lead by example. The role includes advanced proficiency in multiple EMR platforms and includes but is not limited to scheduling, imaging and registration systems (Cadence, Optime, and Aria when applicable), ABN, eligibility, document management software, medical imaging software (Ambra), IHIS communication tools (encounters, inbaskets, secure chat), IHIS work queues, and payor platforms etc. The Senior PAC may also support PAC Lead and Access Management by assisting with training and support for all new staff and student interns when necessary. Organizational Expectations Practices within the Medical Center's policies and procedures; adheres to the Intensive Caring Value statements as demonstrated through positive patient/guest relations, positive and effective interactions with staff, and formulating and meeting developmental goals. Minimum Qualifications For Hire: Required: Per CCS Class Specs: High School Diploma or GED. PC Knowledge and interpersonal, verbal, and written communication. Minimum 1.5 years of experience in patient access or similar field. Employee demonstrates strong problem solving and customer service skills. Able to prioritize and coordinator multiple tasks in busy environment. Preferred: Associate’s Degree and at least 1.5 years of experience in a healthcare setting, existing revenue cycle department or customer service role. Experience with Cadence, Optime Aria, Ambra, and medical terminology preferred. Demonstrates ability to work in multiple systems for assigned tasks, management and reporting. Ongoing requirements: Demonstrates competency in daily functions, interpersonal and cognitive skills required to meet essential job functions. Works well with clinical team members, patients and colleagues. Maintains knowledge related to product/service line, quality improvement, cost reduction, current registration and billing policy and procedures as well as scheduling policies and procedures. Must maintain proficiency in utilizing all applicable systems. Meets attendance, productivity and quality metrics. Must meet mandatory educational and health requirements, as well as ongoing scheduling and registration competencies. Attend Health System and Departmental In-services, education forums, and meetings as required. Job Relationships Supervisory Responsibility: None Contacts: Routine direct contact with patients and their guests, product/service line staff and physicians, PCRM’s, internal and external customers (referring providers and ancillary staff) and various departments of The Wexner Medical Center. Carry patient belongings or luggage to assist with escorting patients. Move supplies, equipment up to 30 pounds. Have visual ability to see clearly both near and far distances, especially visual concentration to focus on a computer screen for extended periods of time, retrieving information, and data entry. Work Environment The work environment involves everyday risks or discomforts, which requires normal safety precautions typical of such places as offices and meeting rooms (i.e. use of safe practices, avoidance of trips and falls, and observance of fire regulations and traffic signs).
