The Ruhlin Company is seeking to hire a Projects Coordinator for its corporate office in Sharon Center, Ohio (Medina County). This is a full-time in-office (not hybrid or remote) position Monday - Friday (7:30am-4:30pm).
Position Summary: Coordinate with project team members Company-wide to ensure document control is successfully managed for assigned projects.
Expected Outcomes:
- Project documentation is submitted correctly and in a timely manner to owners and staff.
- Pay estimates, invoices, and force accounts are processed accurately and timely.
- Document control for projects is completed consistently and accurately.
- Project margin reports are coordinated and published in a timely manner.
- The best interest of the Company is protected and promoted.
Position Responsibilities:
- Set up, organize, and maintain digital files including plans, specifications, correspondence, subcontracts, and miscellaneous project documentation.
- Create and edit documents, many highly confidential.
- Create and process purchase orders, change orders, subcontractor agreements, invoices, force account billings, pay estimates, submittals, check requests, and other documents.
- Distribute documents to project staff as needed.
- Provide support to project managers, superintendents, and project engineers.
- Attend project meetings when necessary.
- Assist estimators as needed leading up to and on bid days.
- Solicit bids from suppliers and subcontractors via HCSS, create proposals containing bid forms and collect other necessary documents to satisfy bid instructions.
- Provide support to assistant chief estimator, chief engineer, estimating staff, and others.
- Order performance and payment bonds once contract is obtained; coordinate signatures on bonds, contracts, and other required documents between Ruhlin and the owner.
- Download and organize plans, specs, and proposals from websites for upcoming projects.
- C-92 approval process – ODOT (subcontracts).
- Attend pre-construction meetings.
- Process general administrative work (check requests, etc.)
- Perform additional assignments per supervisor s direction.
- Communicate and reinforce the Company vision, values, and goals.
Essential Skills and Experience:
- Bachelor s degree preferred.
- Minimum three years of related experience.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Ability to organize and manage multiple priorities with competing deadlines.
- Proficient with Microsoft Office 365 (Word, Excel, PowerPoint, Teams), Viewpoint Vista, and HCSS Heavy Job, preferred. Willing and able to learn additional software programs as needed.
