BRIEF DESCRIPTION OF DUTIES

• Maintaining/managing calendars and making meeting arrangements
• Handling all aspects of travel
• serving as personnel liaison to six Bureaus by providing direction to the personnel liaisons including reporting and keeping them up to date on department / division procedures and any changes that may take place
• Handling issues regarding office inventory, maintenance, surplus, and office equipment
• Processing and tracking all personnel paperwork; keeping up to date on personnel rules and regulations which may include attending periodic Departmental workshops
• Tracking and routing of documents for approval
• Formulating responses to correspondence from notes and general directions
• Serving as back-up for CorrFlow and the weekly memo
• Serving as the contact person for all inter-departmental offices

Workweek is Monday through Friday 8:00 am to 5:00 pm

SPECIAL NOTES

Applicants with the following experience is preferred.

Three (3) years of administrative assistant work experience
Two (2) years of experience in customer service
Three (3) years of experience working with computer software programs in a Windows operating environment
Experience in planning travel requests and reimbursements
Experience in personnel

Knowledge of office procedures and practices; principles and techniques of effective communication; methods of data collection; basic arithmetic; ability to understand and apply applicable rules, regulations, policies and procedures; deal with the public in a tactful and courteous manner; perform basic arithmetical calculations; work independently; utilize problem-solving techniques, plan, organize and coordinate work assignments; communicate effectively; and establish and maintain effective working relationships with internal and external stakeholders.
