CONDITIONS OF EMPLOYMENT:

  • New employees of the Department of Military Affairs will be required to pass a pre-employment drug screening.
  • New employees of the Department of Military Affairs are required to participate in a direct deposit/electronic transfer program.
  • The Department of Military Affairs is paid on a monthly basis.

MINIMUM REQUIREMENTS:

  • A High School Diploma or equivalent; AND
  • Two (2) years of professional Administrative experience or related field

DUTIES AND RESPONSIBILITIES:

  • Researches extensively, initiates and prepares Official military discharge/separation documentation, which includes but Is not limited to: Writing biographical summaries for all Soldiers in the FLARNG who are retiring, NGB form 22's, NGB form 22A's, and Archival request. Provides guidance on Military regulations and on internal controls.
  • Prepares all certificates and retirement flag boxes for all retiring Soldiers in the FLARNG and sends them to their HOR.
  • Responsible for ensuring all documents related to the Soldier and agency are scanned and properly indexed in the State Archives database, Soldiers IPERMS file and prepares certificates. Provides documents to Service Members upon request.
  • Performs necessary research and answers written, telephonic and email inquiries. Communicates extensively with various departments within the agency as well as outside agencies regarding statutory requirements relative to HIPAA, Privacy Act, FOIA and National Guard Regulations. Represents the Florida National Guard.
  • Compiles and calculates Military data to determine deficiencies within associated documentation and submits to appropriate department for correction.
  • Responsible for maintaining manual and electronic inventories as well as statistical records.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of Florida Statues and Federal Laws governing records management and records disposal
  • Knowledge of administrative principles and techniques of effective communication.
  • Knowledge of the methods for organizing and presenting data.
  • Knowledge of Windows NT operating system and data bases, computers, and scanners.
  • Knowledge of general office procedures and Privacy Act.
  • Ability to utilize problem-solving techniques.
  • Ability to prepare reports.
  • Ability to make decisions in a timely manner.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Knowledge of operation and basic maintenance for fa, microfilm reader/printer.
  • Ability to work independently.
  • Ability to lift and carry 10 lbs.
