Job Description:

This position is located at the Division of Blind Services Career, Technology, & Training Center for the Blind & Visually Impaired. This position will serve as administrative support to the Case Management Department.


Examples of Work:

  • Maintain and practice a current understanding of FDOE and DBS policies, procedures, and guidelines regarding information security.
  • Use the Microsoft Suite of products, (which includes Microsoft Word, Outlook, Power Point and Excel), to draft and revise correspondence, memos, forms, reports, spreadsheets, and other documents, providing rough drafts and finalized copies to students and staff.
  • Assist the Vocational Rehabilitation Administrator, Case Management, and Instructional Staff with updating and revising lengthy manuals or handbooks and clean-up report formats.
  • Enter case notes into the AWARE system as requested by Case Management.
  • Run reports for placement into the AWARE system and print information to place into hard files.
  • Provide accessible documentation and instructional materials by transposing written communication into electronic text, through conversion of PDF as well as images for use by screen reading software.
  • Translate electronic text into braille by using braille translation software. Request software upgrades and ensure the proper operation of the braille embosser.
  • Utilize multifunction production and distribution system (copier, printer, e-mail, and fax) to generate and dispense documentation and instructional materials. Materials must be organized, indexed, and easily accessed. Frequently used items must be inventoried on a regular basis to maintain supply.
  • Act as instructional support as needed to drive for student field trips or as an instructor in the performance of their job duties.
  • Serve as a guide or instructional support during student outings or activities.
  • Act as office receptionist as needed by answering the telephone, routing calls, and relaying messages when staff members are not available.
  • Performs other duties as requested.

Minimum Qualifications:

  • One year of work experience in the operation of word processing equipment; or
  • Two years of secretarial or clerical work experience; or
  • Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution; or
  • Possession of a Certified Administrative Professional Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required two years of secretarial or clerical work experience.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required two years of secretarial or clerical work experience.
  • A high school diploma or its equivalent can substitute for one year of the required two years of secretarial or clerical work experience.

  • Must have the ability to be productive under tight timeframes, balance multiple, and competing priorities, and maintain goal-directed behavior and performance expectations sometimes under stressful conditions and situations.
  • Must have the ability to interact courteously with others, which includes fellow co-workers, students, staff, and superiors.
  • Must have the ability to demonstrate consideration of the workload concerns of others and must have the ability to self-reflect on ones behavior and performance as not to negatively affect productivity or morale of the unit.
  • Must have the ability to understand that attendance is an essential function of this position; the incumbent should take leave appropriately, and have the ability to take into consideration the workload of others when scheduling time away from work.
  • Must possess knowledge of the techniques of effective verbal and written communication.
  • Must have the ability to create forms, letters, memorandums, charts, spreadsheets, and various other documents and forms using the Microsoft Suite of Products.
  • Must have the ability to remember numbers and details.
  • Must have the ability to handle multiple telephone calls in a fast, courteous and efficient manner.
  • Must have the ability to speak clearly and correctly and be able to answer questions about various topics involving the Division of Blind Services and the Rehabilitation Center for the Blind and Visually Impaired.
  • Must have an ability to listen effectively.
  • Must have the ability to follow written and verbal directives and instructions.
  • Must have the ability to spell and locate information that is listed alphabetically, numerically, and in various media formats.
  • Must have the ability to plan, organize, and coordinate work assignments.
  • Must have the ability to establish and maintain effective working relationships with others.
  • Must have knowledge of correct spelling, punctuation, and grammar usage.
  • Must have knowledge of letter, report, and tabular formats.
  • Must possess skills in typing.
  • Must have the ability to operate word processing equipment.
  • Must have the ability to proofread typed material for typewritten and grammatical errors and to make the necessary corrections.
