Job Description: We are seeking an exceptional individual to fill the role of Chief Executive Assistant. This position will provide high-level accounting, reporting and management support to our President/Owner while also overseeing administrative functions and leading special projects within the organization. Additionally, this position will serve as a liaison between the Sales and Operations Divisions by assisting with project coordination alongside our Schedule Coordinator. This entails the gathering and organizing of project specifics in the pre-construction planning period to ensure the Sales and Operations staff hit on all project details.

Responsibilities:

1. Executive Support: Provide comprehensive assistance to the Owner/President, including managing calendars, scheduling meetings, coordinating travel arrangements, organizing reports, financial statement assistance and handling confidential information with discretion.

2. Financial Reporting: Prepare and analyze high-level accounting reports, financial statements, expense reports and budget forecasts for review by senior management. Collaborate with the finance department to ensure accuracy and compliance with regulatory requirements.

3. Project Coordination: Lead and coordinate special projects initiated by senior management, including research, planning, execution, and monitoring of project milestones and deliverables. Facilitate pre-project planning meetings between Sales and Operations Teams to ensure quality and efficient project outcome. Assist operations team in coordinating and organizing all initial aspects of construction project planning including scheduling, subcontractor and P.O. management, project budget, resource allocation, submittals, compliance with contract obligations and logistics.

4. Director of Administration Duties: Oversee administrative functions across the organization, including office management, facilities maintenance, vendor/customer management, and procurement. Ensure efficient operations and adherence to company policies and procedures.

5. Communication: Serve as a primary point of contact for internal and external stakeholders, representing the executive team professionally and effectively. Facilitate clear and timely communication to ensure alignment and collaboration on key initiatives.

6. Strategic Planning: Assist in strategic planning activities and budgeting, including developing business plans, setting organizational goals, and identifying opportunities for growth and improvement.

7. Policy Development: Contribute to the development and implementation of company policies, procedures, and best practices to enhance operational efficiency and effectiveness. Be a problem solver.

8. Leadership and Mentorship: Provide leadership, guidance, and mentorship to administrative staff members, fostering a positive and collaborative work environment.

Requirements:

1. Bachelor's degree in Business Administration, Accounting, Finance, or related field required; MBA or relevant advanced degree preferred.

2. Minimum of 7-10 years of experience in executive support roles, preferably in a C-suite environment, with a strong background in accounting and financial reporting.

3. Proven track record of successfully managing complex projects and initiatives from inception to completion.

4. Strong analytical skills with the ability to interpret financial data and make strategic recommendations.

5. Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.

6. Demonstrated leadership abilities with experience in mentoring and developing administrative staff members.

7. Highly organized and detail-oriented, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.

8. Proficiency in Microsoft Office Suite and ERP/Accounting Software (e.g., Sage, Viewpoint, SAP, etc.).

9. Discretion and professionalism when handling sensitive and confidential information.

10. Has experience in human resources/employee management and possesses the skills to effectively navigate, understand, and implement employment regulations.

Location: The Surface Masters Headquarters is located at 1393 Cobb Industrial Way, Marietta, GA 30066 and the Chief Executive Assistant will be required to report here daily. It will not be a hybrid remote position. Typical hours will be Monday-Friday, 8:00am – 5:00 pm.

Job Type: Full-time

Pay: $80,000.00 - $120,000.00 per year
