Job Summary:
The Bid Coordinator plays a critical role in supporting the sales and estimating teams by managing the bid process from start to finish. This position involves coordinating communication between contractors, manufacturers, and internal teams, as well as organizing and maintaining bid documentation. The Bid Coordinator is responsible for reviewing mechanical plans, specifications, and CAD drawings to perform accurate takeoffs, using manufacturer’s software for equipment selection and pricing, and ensuring all bid requests are returned in a timely manner. Additionally, the role requires updating project information in quoting software, organizing digital job folders, and staying informed about upcoming projects through various industry resources.

Primary Responsibilities Include:
· Communicate with contractors, manufactures, sales and estimating teams
· Review bid list, organize plans, and specifications
· Maintain Bid Calendar Accuracy & Project Updates/Revisions
· Communicate and coordinate with sales team regarding upcoming projects and bids
· Review and Interpret mechanical plans, specifications, and CAD drawings to perform takeoffs
· Use manufacturer’s software to for proper selection of equipment, costs, and pricing to provide material in the sale of commercial HVAC products
· Returning all bid requests back to bidders in a timely manner, follow up for feedback and to track jobs
· Enter project information into quoting software and organize digital job folder
· Review construction websites, contractor FTP sites, K-12 and university bid sites for upcoming projects
· Understand the products that UEP represents
· Establish key relationships within the industry
Successful Candidates Must Have:
· 0 - 2 years of work experience
· Bachelor’s degree preferred, will consider relevant work experience in the HVAC industry
· Strong attention to detail
· Excellent communication skills
· Excellent organizational, time management, and problem-solving abilities
· Understanding of mechanical drawings and written specifications, is a plus
· Working knowledge of Microsoft applications and PDF software
· Basic knowledge of AutoCAD is preferred
· Ability to meet strict deadlines

· Work is primarily in an office environment but may include field visits and occasional work outside of an office environment.
