Purpose Coordinate administrative and operational aspects of programs classified as camps associated with the Office of Admissions. Responsibilities Responsible for managing compliance and serving as Camp Director with UT’s Youth Protection Program for all department planned day and overnight camps. Maintain compliance with Youth Protection Program (YPP) requirements and regulations, including background checks, training, and forms for all programs in which YPP requirements are in place. Ensure that required camper/counselor ratio is met at all times. Report all incidents to YPP Director. Manage and update program materials such as program overview/guidelines documents, application forms, student contract with expectations, faculty contract with expectation and applicable orientations. Serve as Summer Discovery primary administrative contact for program directors, staff, faculty, students, and consultants, and coordinate with Admissions leadership as needed. Identify courses, recruit instructors, and coordinate course scheduling. Support instructors on course planning (objectives, syllabus, materials, resourcing) and set up courses in Canvas. Coordinate with internal University offices as needed to operate programs, including ITS, the ID Center, RecSports, University Health Services, UT Libraries, and the Registrar’s Office. Coordinate events and other program activities; reserve space and classrooms, coordinate catering, process contracts. Hire, train, and manage employees. Manage budget and accounting; ensure proper use of funds per Summer Discovery contract requirements. Prepare annual reports and other financial requests. Coordinate with Office of Sponsored Projects and other financial offices regarding budget updates, compliance, and reporting. Coordinate payment vouchers and track expenditures for all instructors, consultants, guest speakers, and students including fellowships/scholarship payments, insurance stipends, tuition payments, travel, and other reimbursements. Purchase and distribute training materials and other supplies as needed. Assist with administrative projects that support the goals of the Office of Admissions. Required Qualifications Bachelor's degree and three years of work experience. Ability to work independently and meet deadlines with limited supervision. Proficiency with Microsoft Office Suite. Excellent organization skills and attention to detail. Excellent interpersonal, verbal and written communication skills. Ability to pass all required background checks as required by the Youth Protection Office to serve as a university Designated Individual. Ability to gain authorization to drive a university vehicle. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Knowledge and experience with UT Austin processes and procedures. Experience with UT Austin HR and accounting procedures. Experience managing student team members. Previous work with youth programs that require youth protection compliance. Driving Required This job requires a class "C" operator's driver's license. The applicant selected must provide a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
