Job Responsibilities:

  • Maintain projects in Procore.
  • Responsible for vendor information (making sure all the contact information and vendors/subs are in Procore for each project).
  • Responsible for writing commitments in Procore. PM is responsible for reviewing the contracts before sending. PC sends them out and follows up for signature.
  • Ensures backup of contract goes on server once signed.
  • Handles drawing & specification management once project is in construction (Precon handles before construction). Ensures backup of documents are uploaded onto the server as well as Procore (RFIs and Submittals will be handled by the Project Engineer or Project Manager).
  • Assists Development Team in the procurement of building permits. Prepares and collects all required documents for permit submittal and follows through until permit issuance.
  • Scans and distributes a complete set of permit documents to the field, superintendent, and either the office or field (for subcontractor use).
  • Ensures that all insurances for active subcontractors are current.
  • Prepares meeting minutes including OAC (Owner, Architect, and Contractor) meetings. Participates in and documents the on-site pre-construction meeting as well as the internal pre-construction meeting.
  • Assists the Project Manager in preparing weekly and monthly reports.
  • Prepares all close-out books and distributes them.
  • Works with superintendent to ensure that the as-built drawings are completed and distributed appropriately.
  • Receives all warranty requests and notifies the appropriate Project manager. Follows through to make sure all the work has been completed to the satisfaction of the Owner.
  • With the PM's approval, "dead file" the closed project. Ensures that all the file boxes are labeled and taken to storage.
  • Receives phone calls on behalf of the Project Manager when appropriate.
  • Assists the preconstruction department in obtaining Hazardous Material Investigation reports, FDEP requirements, and Geo-Technical reports.
  • Assists with setting up temporary power and project site set up (things like ordering dumpsters).
  • May perform other duties as assigned.

Education & Experience Requirements:

  • High School Diploma or equivalent.
  • Minimum of 1 year work experience in construction.
  • Excellent verbal and written communication skills.
  • Organizational skills.
  • Detail Oriented.
