Job Description


ThePub is hiring a Project Manager. The ideal candidate will be a resourceful, self-starter who wants to work in on unique and innovative projects within the pharma category.

Core Responsibilities

Planning

  • Able to define team process communications plans, rules of engagement and manages team adherence
  • Skillfully identifies and removes barriers to project success
  • Knows when to involve department leads in planning, to generate ownership and commitment to projects
  • Demonstrates comprehensive understanding of internal processes
  • Maintains up-to-date status, hot sheets
  • Manages day-to-day workflow for multiple projects with minimal oversight

Industry Knowledge

  • Familiarity with project lifecycle and agency process and project management methodologies
  • Working knowledge of technical issues related to digital projects, and ability to clearly communicate these knowledge/recommendations to other team members, supervisors
  • Understands print & digital best practices, as well as familiarity with extended team deliverables
  • Understands SOWs and knows how to parse core deliverables into actionable tasks that also tie back to hours scoped/hours in staff plan
  • Understands how to create and vet individual project staff plans and can outline core internal team members based on deliverable

Time Management & Supervision

  • Works on problems of moderate scope where analysis of situation or data requires a review of a variety of factors
  • Prioritizes and manages workload to ensure self and team effectiveness
  • Proactively plans day to avoid workflow bottle necks and pinch points
  • Triages email appropriately, prioritizing urgent items that may impact team/project/agency

Risk Mitigation and Quality

  • Recognizes project risks, manages & mediates projects issues, and can develop solutions with confidence
  • Proactively identifies opportunities to adjust processes for efficiencies to mitigate risk on budget and timeline impact
  • Ensures accuracy and consistency aligned to client and agency standards of quality when developing project

Flexibility and Change Management

  • Anticipates the need for change and helps others adjust their priorities and activities to meet the needs of the situation
  • Reinforces the use of the tools and resources necessary to support and manage change

Written & Verbal Communication

  • All internal and external communications are professional, polished, and efficient - Gives clear & concise internal direction, particularly when disseminating key feedback/decisions
  • Effectively runs internal team meetings by presenting and following a clear agenda
  • Able to integrate seamlessly with Client teams and third-party teams
  • Recognizes when offline communication is most efficient and necessary (and later documents key decisions)
  • Schedules meetings only when necessary, and correctly determines if a meeting would be best way to help the team move forward

Problem Solving

  • Skilled at proactively identifying and communicating roadblocks and potential solutions
  • Resolves or escalates issues to supervisor and appropriate stakeholders based on potential impacts to business and/or Client relationships

Conflict Resolution

  • Recognizes challenges/difficult situations and develops a plan or solution
  • Knows when to escalate to PM lead for info sharing versus validation/workshop of planned solution; always leads with solution-oriented mindset
  • Meets with team and addresses concerns regarding critical issues in an open and honest manner

Accountability

  • Consistently fulfills commitments to team
  • Holds team and themselves accountable to meeting project deadlines and deliverables as agreed to in project workplans
  • Reinforces ownership and accountability at initiation of new projects with internal team members
  • Leads by example

Qualifications
  • 3 years of Project Management experience working in advertising, marketing or a related field
  • Strong communications and time management skills
  • Experience working with clients within the pharmaceutical industry or other highly regulated categories
  • Ability to anticipate issues/project risks and manage and escalate appropriately
  • Attention to detail and an exceptional level of organization and follow through.
