We are currently seeking an Executive Assistant to be a supportive force who empowers our Executive Team. The ideal candidate will be a proactive problem solver with exceptional communication skills and a meticulous attention for details. This person should have experience providing administrative support to C-Level leaders. We will rely on this person to be flexible and consistent, while maintaining the confidentiality of high-level operations. This newly created position will report to the CEO and will be based at the ThompsonGas Corporate HQ in Frederick, MD.
MAJOR JOB DUTIES:
- Provide support to the ThompsonGas Executive Team, consisting of: CEO, CFO, COO, CIO, EVP & General Counsel, and SVP, Human Resources
- Perform a wide range of administrative and office support activities to facilitate the efficient operation of the organization
- Represent the company in a mature, flexible and professional manner, as an initial point of contact and liaison for employees, visitors, customers and executives
- Coordinate complex scheduling and calendar management, exercising discretion in committing time and evaluating needs
- Coordinate in-person meetings, conference calls and Teams meetings with internal and external groups; ensuring proper room layout, IT needs and day-of support
- Manage travel logistics and activities, including accommodations, transportation and meals
- Coordinate company meetings and events with focus on travel, accommodations, meals, entertainment, agendas and meeting materials; may attend off-site meetings to coordinate support “on the ground”
- Prepare complex correspondence, reports, forms / documents, presentations, agendas, etc. that require high attention to detail
- Track and process expense reports in Concur for Executive Team members
- Assist Human Resources with coordination of employee engagement activities
- Provide support for company-wide town halls and communication via Teams or other Webinar tools
- Create board materials for quarterly meetings
EDUCATION, REQUIREMENTS AND EXPERIENCE:
- Bachelor’s degree preferred but not required
- Minimum of 5 years of experience supporting a member of the Executive team
- Exceptional verbal and written communications skills
- Sensitivity and discretion to work with highly confidential information
- Must be able to prioritize and handle multiple assignments while adapting to changing deadlines and priorities with success and accuracy
- Self-starter with advanced Word, PowerPoint, Excel, Concur and Outlook hands-on knowledge, along with comfort with databases and other software
- Excellent calendar management skills including the coordination of executive meetings in multiple time zones
- Positive, can-do attitude and approach
- Ability to work effectively with all levels of staff including internal and external stakeholders
- Demonstrated excellent customer service mentality
- Must display tact and diplomacy in difficult or sensitive situations
- May be asked to travel on occasion
