About the Finance Team
The Finance Team is involved in all aspects of the business ensuring we properly capture, account for, and record all the activities that occur as they occur. We keep the books and records for the Company, maintain the stock ledger, and help to ensure Thumbtack has appropriate policies and procedures in place to provide the business with the information in order to make critical decisions in support of Thumbtack’s success. We are also recognized as being one of the teams with the most cross-functional input and impact. We work across the organization at all levels to ensure the work we do for the Company is based on cross-functional and business organization teams.
About the Role
The Stock Administrator will lead all things stock administration and be a critical cross functional partner across the legal, people, and finance teams as we bring our stock administration function in house. The successful candidate will be responsible for hands-on, end-to-end administration of Thumbtack’s global equity plans (including but not limited to options, RSUs and a future ESPP). The ideal candidate will have at least ten years of experience with most of this being at a public company. It requires you to be exceptionally organized, responsible, detail-oriented and resourceful. The proven ability to work cross-functionally is a must. You will be the subject matter expert, but several teams will want to weigh in on your subject!
Responsibilities
- Administer the company’s equity plans for all employees in the U.S. and globally working closely with the company’s transfer agent, outside broker service providers, and internal Legal, Payroll, People, Tax and other teams, as necessary
- Provide a superior level of customer service to employees, ex-employees, investors, and other shareholders including management for all things stock (inquiries, updating shareholder info, transfers, administrative questions, etc.)
- Support employee understanding of equity awards and company programs and policies and provide live and recorded presentations to new and existing employees
- Implement best practices with effective SOX controls, and assist with automation of routine work streams and manual processes to enable efficient, accurate and timely processing of equity award data. This includes collecting and maintaining supporting documents for internal/external SOX auditors and responding accurately, thoroughly and timely to requests for data
- Maintain company’s equity data (new hires, terminations, transfers, splits, grants, leave of absence vesting suspensions, etc.) using Carta including preparation of custom reports and reconciliations to assist in the review of equity and transaction data
- Prepare and coordinate Board materials with leadership team
- Prepare and file year end stock related forms and assist with preparation of stock-related sections of financial and other similar statements. Assist legal team with review of new stock related documents and plans and perform other duties and fulfill other ad hoc requests as needed
Must-Have Qualifications

- 10 years of experience in administration of global equity plans
- Bachelor’s degree required, CEP Level III preferred with a very strong working knowledge of equity plans and various equity award types
- Excellent communication (written and verbal) with all levels of employees and internal/external partners, organizational, analytical and problem-solving skills with an ability to collaborate cross functionally and ability to work in a fast paced environment while ensuring high confidentiality
- Self-motivated- able to think independently, creatively, and opportunistically with energy, enthusiasm
- Demonstrated analytical and organization skills, with impeccable attention to detail, excellent project management skills and an expert in all things excel (pivot tables, V-lookups)
Nice-to-Have Qualifications
- Well versed with Shareworks or some other public Company equity plan software
- Experience working for a tech company
- Understanding of private company and public company equity--key similarities and differences

Thumbtack is a virtual-first company, meaning you can live and work from any one of our approved locations across the United States, Ontario or the Philippines. When it is safe to gather, we will begin to host in-person events on a regular basis. Remote employees will be expected to travel occasionally for these events to a Thumbtack library or offsite team-building location. In cities with 5 employees, we are establishing local communities, where employees can gather for local events. Additionally, employees in the San Francisco, Salt Lake City, Toronto and Manila areas will have opt-in access to communal workspace at one of our Thumbtack libraries. We always prioritize the health and safety of our employees. Currently, participation in these events and Thumbtack library use are optional. Both require employees to be fully vaccinated.
