Job Summary:
The Purchasing Clerk will perform administrative and clerical duties for the purchasing department.
Responsibilities:
- Provides administrative and clerical support to the department.
- Types reports, purchase orders, memoranda, and other documents.
- Researches vendors and collects prices, specifications, and other data related to goods and services.
- Establishes and maintains recordkeeping system for purchasing department.
- Develops an efficient and accurate system for monitoring all open purchase orders. – covered below, managing instead of reporting/assisting.
- Works with management to ensure that all deliveries satisfy the assigned purchase orders.
- Assist the Supply Chain manager with maintaining proper inventory levels of materials.
- Complete all purchase orders of the organization and look for opportunities to promote cost efficiency. This includes raw materials and packaging materials.
- Manages material flow from suppliers all the way to the production facility and off-site warehouses (e.g., purchase orders and inventory transfers).
- Establishes safety stock levels, reorder points, lead times and order frequencies for packaging and raw materials.
- Demonstrates effective communication with internal and external stakeholders.
- Understands and utilizes ERP tools such as MRP.
- Adopts a continuous improvement mindset.
- Works with supply planning teams to optimize aging material risks.
- Will need to be flexible and adaptable in a fast-paced environment.
- Maintains supplier relations.
- Works with procurement, quality, and inventory department on defective materials.
- Occasionally coordinates logistics on inbound orders when suppliers do not deliver goods.
- Assists procurement with new product development, transition, and timelines.
Required Skills/Abilities:
- Ability to follow verbal and written instructions
- Ability to learn purchasing procedures and policies
- Ability to type 40 words per minute
Education and Experience:
- High school diploma or equivalent required.
- At least two years of clerical experience preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
