Flying S Title & Escrow is a subsidiary of Title Financial Corporation. We seek a Front Desk Coordinator / Escrow Assistant to join our team in Kellogg.

About the position

The Front Desk Coordinator / Escrow Assistant is responsible for answering and directing phone calls to the appropriate person.

The position is typically the first person that is seen when someone arrives in the office and should provide the guest with a good experience.

This includes greeting and directing them to the appropriate place and providing excellent customer service. With assistance and supervision, the position also provides assistance to the escrow department by performing general support tasks to maintain department efficiency.

Job duties include gathering documents and processing paperwork required for all payoffs, and liens, and clearing titles for routine escrow transactions.

The Escrow Assistant handles earnest money for escrow transactions. This position communicates with various types of lenders, realtors, attorneys, customers, and others in order to facilitate information gathering.

This position requires excellent customer service ability. Interpersonal skills, and verbal and written communication skills.

Ability to stay organized and provide accurate and timely work within deadlines.

Job Duties Include :

  • Answers telephone calls, routes to appropriate individuals or departments, and takes accurate messages.
  • Professionally and courteously greet clients and address their questions and concerns. Direct clients to appropriate individuals or departments as needed.
  • Process Title orders received from clients via email, fax, telephone in-person, etc.
  • Checks information such as order information, legal descriptions, addresses, buyer / seller names, and property data and verifies the completeness and accuracy of the order.

Obtains needed information and clarification from the appropriate co-worker.

  • Assist escrow staff in preparing for closing by requesting pay-off statements and figuring out loans, lien releases, insurance, commissions, and legal records and / or necessary documents to ensure that lender instructions coincide with the purchase agreement.
  • Upload all necessary documents into document retention software and complete all required information.
  • Input, access and retrieve data relevant to closings.

  • Communicate effectively and professionally with company employees and customers by phone, in person or through correspondence.

  • Adheres to all company policies and standards, including the expectation of prompt, predictable and regular attendance.
  • May be required to use a company car or personal car to deliver information to clients, customers, banks, courthouse, etc.
  • Other job duties as required.

Physical Requirements :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
