Under general supervision, performs clerical and general office duties of moderate difficulty in the Tom Green County Elections Office.
Essential Duties and Responsibilities:
- Assists with opening and readiness of office for business each day, proper closing and securing of office at end of day.
- Maintains accurate voter registration records, performing data-entry to accurately enter new voter information and update names, addresses, and related information in accordance with regulations and office procedures.
- Handles confidential, proprietary information and observes strict compliance with department policy to maintain confidentiality required on all aspects of the job.
- Processes death notices and removes deceased persons from active voter records; processes change-of-county notices; removes convicted felons from voter rolls upon receipt of abstracts of final judgments.
- Performs alphabetizing of voter registration records and filing in proper location.
- Answers questions and inquiries from the public about voter registration, early voting, and related procedures.
- May assist with processing of applications for ballots from military personnel.
- Performs tasks necessary to prepare for upcoming elections, including running pre-election tests of electronic voting machines and ballot scanner boards.
- Assists in running pre-election tests of electronic voting machines and ballot scanner boards.
- Receives and sends electronic reports to the Secretary of State’s Office; corrects reported errors as needed.
- Maintains department records and files in accordance with records retention schedule.
- Scans, images, and shreds official records in accordance with the Tom Green County records Management Schedule.
- Attends meetings, training, seminars, and conferences, as requested; performs other duties, as assigned.
- Assists with preparation of election paperwork, maintains supplies.
- Assists with preparation of ballot boxes needed in an election.
- Assists with proper storage of election records.
- Assists with ordering of office supplies if necessary.
Knowledge, Abilities, and Skills:
Learns and complies with all security policies and procedures.
Knowledge of general office procedures and practices; knowledge of Texas voter registration rules and procedures; knowledge of the operation of computers and other office equipment; knowledge of the use of word processing and spreadsheet software.
Ability to maintain accurate voter registration information and to update records in a timely manner; ability to communicate effectively with a wide variety of individuals, including voters, elections personnel, and state and local officials.
Skill in the use of personal computers and a variety of word processing and spreadsheet software.
Physical Requirements and Work Setting:
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 35 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience Required:
Six months of clerical, secretarial, general office or equivalent experience.
Certificates and Licenses:
Registered voter or registered to vote within thirty days of employment preferred.
Additional Requirements:
Incumbents must be able to pass a criminal background check.
Ability to work outside of normal hours, including weekends, when required.
