Job Description
We seek an Executive Assistant who excels in both administrative and client-facing roles. The ideal candidate will be able to manage various administrative tasks and engage directly with clients and prospects. This role is integral to our business operations and demands a balance of efficiency, professionalism, marketing enthusiasm, and sales acumen.
Key Responsibilities:
Email & Call Management:
- Handle email correspondences, prioritizing client and sales-related emails.
- Make calls to prospects based on email responses to book appointments.
- Commission incentives offered for successful booked appointments after 90 days.
Calendar & Scheduling Management:
- Manage and Optimize the executive's calendar.
- Schedule and confirm meetings, respecting the executive’s preferred time blocks.
Client Relationships & CRM Management:
- Help Executive grow and develop personal relationships with clients.
- Operate and update the CRM system, flagging crucial client issues.
- Raise issues, and propose solutions accordingly
Social Media and Marketing
- Oversee Virtual Assistant engages on Executives Social Media Accounts
- Track and Maintain KPIs for Executives on Social Media
Project Monitoring
- Track and Report on significant projects on a “As needed” basis
- Use project management tools like Notion for effective organization and communication
- Collaborate with other team members to ensure the completion of projects
Personal Assistant Tasks
- Handle personal errands including travel arrangements, appointments, and reservations
- Align personal assistant tasks with the executive’s broader goals and vision
Administrative Duties
- Conduct administrative tasks like spreadsheet management, and event supply ordering.
- Ensure smooth operation of all administrative functions
Continious Learning & Development
- Stay informed about Digital Marketing Technology
- Stay informed about Artificial Intelligence
- Stay informed about Social Media
- Apply new knowledge to enhance our business practices and client interactions
Additional Responsibilities:
- Coordinate and facilitate meetings, conferences, and events.
- Handle confidential information with discretion and maintain strict confidentiality.
- Perform general office duties such as answering phones, greeting visitors, and maintaining office supplies.
- Assist with special projects and initiatives as assigned.
Qualifications
- Proven experience as an Assistant, Admin, or Executive Assistant
- A desire to learn and conduct some sales and client communication
- Strong organizational, time management, and multitasking skills
- Effective communication skills, both written and verbal
- Knowledge of CRM software is a plus
- Knowledge of office management tools, and knowledge of social media platforms
- Self-Driven, with the ability to work independently
- Previous sales experience is highly advantageous
- Strong computer literacy with proficiency in Google Docs, Canva, ChatGPT
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Ability to multitask and adapt to changing priorities in a fast-paced environment
- Knowledge of QuickBooks or other accounting software is a plus
- Front desk experience is a plus
- Ability to handle sensitive information with confidentiality.
