The Role:

We are looking for a strong Executive Assistant to our CEO as we expand due to tremendous growth. We are a growing technology-enabled provider of outsourced services for the legal industry, focused on the large and growing mass tort sector. Our Company offers a full spectrum of services designed to meet our clients’ needs and streamline their success. Our growth is so substantial that we are seeking a seasoned professional to effectively assist our CEO in the day to day operation of the company. This role will ideally be based in South Florida allowing for a hybrid work schedule in our Boca Raton office. Our ideal candidate will be someone who understands and has experience working closely with C-Suite leadership and has the ability to anticipate their needs. The ideal candidate will also have innate business acumen, an entrepreneurial spirit, have a high degree of adaptability and flexibility and be able to function easily in a fast paced HIPAA compliant environment.


Specific Responsibilities Include:

•Managing our CEO’s schedule •Drafting, reviewing and sending communications/correspondence on CEO’s behalf

  • Organize and prepare for meetings including gathering documents and planning the logistics of the meetings
  • Coordinating travel arrangements and handling event calendars
  • Lead the planning and execution of CEO and other Torticity leadership’s attendance and participation in annual Mass Tort conventions and meetings throughout the year
  • Fielding emails and phone calls on behalf of the CEO and knowing which ones to prioritize
  • Assist the CEO in staying organized, informed and prepared for all matters that may come their way
  • Cultivate a strong relationship with our CEO to facilitate a mutually beneficial work setting where you’re able to anticipate their needs and take initiative where warranted
  • Prepare the office and executive conference room for meetings with law firm partners, board members and other visitors
  • Ability to handle sensitive and confidential information appropriately in a HIPAA compliant environment


Experience/Skills:

  • 5 years of demonstrated successful executive assistant experience preferrable for a CEO
  • Demonstrated ability to partner with leadership, stakeholders and other professionals to achieve a strong and cohesive communication with the CEO
  • Ability to function well in a fast paced office setting
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent judgement, organizational and communication skills with an acute attention to detail
  • Availability during non working hours for special projects and discussions with the CEO
