Position Overview
We are seeking a versatile Administrative Assistant to join our team. The ideal candidate will play a pivotal role in ensuring smooth day-to-day operations and providing exceptional administrative support to various departments within the company with a strong focus on back end needs. As the first point of contact for clients and stakeholders in office and over the phone, the Administrative Assistant will embody our company values, exhibiting adaptability, excellent phone etiquette, and a quick grasp of technology.
Key Responsibilities
1. Administrative Support - Provide comprehensive administrative assistance to the office operations team. This includes but is not limited to ordering supplies, scheduling meetings as needed, scheduling appointments for employees, managing deliveries and being the gatekeeper for key positions in the office.
2. Client Communication: Serve as the primary point of contact for client inquiries via phone and in-person interactions. Must demonstrate exceptional phone etiquette and communication skills to address client needs promptly and professionally.
3. Documentation and Record Keeping: Maintain accurate and up-to-date records and organize information appropriately in our various tools.
4. Technology Proficiency: Quickly learn and adapt to various software and technology platforms utilized within the company, including project management tools, CRM systems, and Google Workspace Apps. Provide technical support to team members as needed.
5. Office Management: Assist in maintaining office supplies inventory, coordinating office maintenance, and ensuring a clean and organized work environment conducive to productivity.
6. Team Collaboration: Collaborate effectively with cross-functional teams to facilitate seamless communication and information flow. Support team members in achieving project objectives and deadlines.
7. Day to Day:
This position is full time at the Total Grounds Office Monday - Friday, standard business hours.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience in administrative support roles, preferably in the construction or landscaping industry.
- Exceptional interpersonal and communication skills, with a strong emphasis on phone etiquette and customer service.
- Proficiency in Google platforms, such as Docs, Sheets, Slides, etc and willingness to learn new software applications. Experience with Aspire software is a plus.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Detail-oriented with excellent organizational skills and a high level of accuracy in data entry and record keeping.
- Demonstrated adaptability and willingness to take on new challenges with a positive attitude.
- Strong problem-solving skills and ability to work both independently and collaboratively within a team.
- Bi-Lingual (English/Spanish) is a plus.
