Responsibilities:
- New Employee/Temp Onboarding: Serve as the point of contact for new employees and temporary staff, facilitating the full onboarding process, including I-9 completion, benefits enrollment, and direct deposit setup.
- Office Management: Track inventory levels and order supplies as needed. Maintain the mailroom, ensuring efficient sorting and organization of incoming and outgoing mail.
- Accounts Receivable: Manage purchase orders and check payments. Maintain proper documentation, record-keeping, and follow-up on outstanding invoices.
- Perfect Attendance Program Management: Support the implementation and management of the Perfect Attendance Program. Order prizes as needed, track program participants, and provide regular communication to site leadership.
- Site Newsletter: Coordinate with the team to produce and distribute a site newsletter. Manage content gathering, design/layout, and distribution to employees.
- Wellness Champion: Organize and coordinate wellness initiatives, including biometric screenings, communications, and global challenges. Promote participation and engagement among employees.
- Employee Record Management: File all paperwork related to employee records, both in person and electronically, for the Georgia Distribution Center.
- Facility Support: Assess facility needs and partner with the Environmental, Health, and Safety (EHS) Leader to provide support for facility requirements and compliance.
Additional Office Administrator Duties:
- Calendar Management: Schedule and coordinate meetings, conferences, and travel arrangements for management and team members.
- Document Management: Organize and maintain electronic and physical files, ensuring accuracy, confidentiality, and accessibility of documents.
- Data Entry and Reporting: Input data into spreadsheets and databases, generate reports, and assist with data analysis as needed.
- Correspondence and Communication: Draft, edit, and proofread various documents, including memos, emails, and official announcements.
- Meeting Support: Prepare meeting agendas, take minutes, and distribute meeting materials. Follow up on action items and ensure proper documentation.
Qualifications:
- High school diploma or equivalent; additional education in business administration or a related field is a plus.
- Proven experience in office administration or a similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with HR processes, including new employee onboarding and employee records management.
- Ability to multitask, prioritize workload, and meet deadlines.
- Knowledge of accounts receivable procedures is beneficial.
- Prior experience in coordinating wellness programs or activities is a plus.
This is a full-time, in-person position based at our St. Peters, Missouri Distribution Center, with some remote administrative duties for the Georgia Distribution Center. The successful candidate will play a vital role in ensuring the smooth operation of our offices and providing support to our employees.
