What You’ll Be Doing:
The Executive Assistant provides executive administrative support to the TJMHC and manages and oversees the daily office functions, including reception, purchasing, vendor management, contract negotiations, and operational process improvement. More than a traditional administrative role, this position will directly support, manage and facilitate the needs of the TJMHC CEO. This is a prominent role in the organization and is responsible for creating excellent experiences for stakeholders accountable for directing and coordinating the consistency of office services and related activities. Delivers exceptional customer service to employees, clientele, guests, and visitors.
Essential Duties And Responsibilities
- Provides excellent and efficient administrative support to the TJMHC.
- Maintains business operations with high consistency and integrity, reviewing and documenting processes.
- Policy and procedure development and maintenance
- Process improvement to ensure accurate and efficient, HIPAA-compliant workflows.
- Ability to appropriately handle legal documents and matters of a highly confidential nature
- Delivers excellent customer service and creates a wonderful visiting experience for patients
- Detail-oriented and highly organized with the ability to prioritize multiple projects simultaneously in a fast-paced environment
- Ability to work independently with minimal supervision and exercise discretion and independent judgment in matters of significance
- Exceptional interpersonal and team-building skills with a positive attitude and ability to establish relationships with senior-level executives, department heads, and other stakeholders
- Project Management skills in project tracking, issue management, project communication, project planning, and cost reporting
- Able to anticipate stakeholder needs without direct instruction and be proactive in addressing them
- Demonstrates excellent written and oral communication skills with an ability to lead and influence
- Initiates meetings with leadership members one-on-one regularly to determine support needs.
- Strong professional oral and written communication skills are a must, as well as the ability to work with minimum supervision and frequent interruptions while always maintaining a professional demeanor.
- Professional communication skills and ability to coordinate with attorneys, psychiatrists, social workers, and other professionals.
- Creates and manages vendor/supplier relationships across the TJMHC and negotiates vendor/supplier contracts.
- Negotiates office equipment leasing and troubleshoots maintenance issues with equipment vendors
- Answers office emails and voicemails
- Oversees patient scheduling through Simple Practice
- Ability to de-escalate and respond to crises appropriately
- Composes and distributes memos, letters, and correspondence
- Organizes staff meetings (including catering) and corporate events
- Coordinates travel arrangements and supports other staff traveling on TJMHC business
- Keeps office area clean, organized, and fully stocked; manages files, record systems, office supplies, and inventory
Job Types: Part-time, Contract
Pay: $18.00 - $25.00 per hour
Expected hours: 30 per week
