Receptionist / Community Relations Assistant

Serves as an information resource for all internal and external customers* to the Mayes Center, Okeechobee Office and the Thomas Counseling Center. Responsible for greeting and directing each incoming visitor cordially and efficiently; and answering phones & directing accordingly. This position is also responsible for keeping the main common areas and conference/meeting rooms tidy and ready for use and monitoring the conference room reservations/calendars. This position works in partnership with the Volunteer Department providing limited clerical support, and providing clerical support to other TCH departments as needed. *Visitors, staff, tenants, vendors, guests.

Qualifications
Excellent interpersonal and customer service skills required. Must be able to articulate with demonstrated ability to communicate clearly and professionally. Ability to maintain confidentiality and utilize discretion and good judgment. Proficient in Microsoft Office (Outlook, Word, Excel & PPT). Attendance is a condition of employment.   • Greet all customers cordially and communicate in a helpful supportive manner.
  • Answer external phones and direct accordingly.
  • Monitor conference rooms at respective office for tidiness and bookings.
  • Keep front desk, reception area and conference/meeting rooms tidy and orderly.
  • Keep literature racks stocked and up to date.
  • Maintain Vendor/Visitor badge log.
  • Greet counseling clients and notify counselor of arrival.
  • Administrative support to the CEO’s office and other departments as needed and coordinated by the Executive Administrative Supervisor.
  • Maintain a high level of urgency, customer consciousness and service excellence.
  • Participate as an active supporter of the Treasure Coast Hospice compliance program, to include the emphasis to report and comply with all Federal, State and local laws, and the organization’s compliance program. “If you see something, say something”.
  • Fulfill all responsibilities related to the success of the strategic plan of the organization, as requested and assigned.
  • Support Service Excellence, by serving internal and external customers in a manner that increases their confidence and knowledge, responding timely, efficiently and courteously to their needs and concerns.
  • Demonstrates application of the Mission and Vision in all interactions with internal and external customers.
  • Attendance is a condition of employment.
OSHA Category
Position will be categorized as category III (involves no routine or potential exposure to blood, body fluids/tissues).

Working Conditions
  • Typing or otherwise working primarily with fingers rather than with the whole hand as in handling.
  • Sedentary – Exerting up to ten pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria met.
  • The work is required to have close visual acuity such as/preparing and analyzing data and figures; transcribing, viewing a computer terminal; extensive reading.
  • Frequent lifting of 10 pounds

Additional Information
Incumbent may be required to perform emergency duty before, during and/or beyond normal work hours or days in the event of an emergency, crisis situation or disaster (man-made or natural) including evacuation sites. The person in the position will work in a smoke-free location, and is expected to adhere to all smoking restrictions.
