Summary:
This is a critical role in our supply chain and responsible for managing import bulk wine from Australia and New Zealand to the US, including clearance, delivery to storage locations and final destination. Pivotal in our duty drawback process and reporting. Provides back-up support to Bulk Wine Logistics Manager.
Key Responsibilities include:
- Work in conjunction with carriers, and freight forwarders to ensure on time, error free deliveries.
- Effectively communicate, and interact with carrier contacts, freight forwarders warehouse personnel, planning, customer service, winery and bottling personnel and operational peers.
- Work with logistics partners in identifying productivity initiatives, cost impacts and service enhancements. Work with partners to establish action plans to improve performance.
- Help troubleshoot issues with day-to-day operations at the receiving location, freight forwarders and carrier partners. Help develop feedback and work with vendors to arrive at solutions.
- Coordinate delivery priorities with freight forwarder, carriers and delivery sites. Work with Wine makers when off-site storage is requested and set up deliveries to said sites.
- Provide required documentation and delivery schedule to the Cellar and Wine Info teams for deliveries of BW containers and Create Ship ID’s in Vino EZ for all BW Imports deliveries to TWE winery sites, Sonoma Bottling Center and storage sites.
- Ability to cross-train to help other functional contributors to perform these duties when business needs dictate.
- Responsible for obtaining order invoices, COA & Wine Info data and submitting to internal Wine Info teams and Finance as well as external Freight Forwarder and Customs broker for timely release of containers once they arrive at port.
- Maintain, update & provide weekly and/or daily updates to stake holders on status of all Import orders per the Master Import BW Shipment report.
- Track, code and process all freight invoices and provide month end accruals for the BW freight budget.
- Provide timely and accurate in transit status of orders for financial accountability for month end results and tracking budget vs actual of containers ordered, LE support and month end reporting out to supply finance.
- Create, maintain and close e-file folders for each shipment of all required docs for compliance and audit purposes.
QUALIFICATIONS:
- BA or BS in Business Management or equivalent work experience
- Demonstrate the ability to handle multiple tasks.
- Proficiency in JDE 9.1 system, or a similar system (such as SAP).
- Ability to budget, explain variances and recommend and implement solutions
- Complete understanding of transactional activities and impact to the business
- Ability to problem solve and recommend and implement solutions
- Good process and systems orientation and demonstrated results.
- Must possess high level of accuracy and attention to detail.
- MS Office proficiency must have strong Excel skills for reporting

- You have Excellent verbal and written communication essential. You are Customer service focus, proactive follow through and orientation. You can contribute to a positive work atmosphere by behaving and communicating in a professional manner with customers, suppliers, co-workers and management. You have good presentation skills. The ability to import /export documentation and work with freight forwarders. Are you Microsoft Proficient and have the ability to lead meetings. You have wine industry experience and/or knowledge is plus and are able to work with winemakers.
