Job Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include providing administrative support, managing office tasks, and assisting with various clerical duties.
Duties:
- Perform general office duties, such as answering phone calls, taking messages, and redirecting calls as necessary.
- Greet visitors and direct them to the appropriate person or department.
- Assist with scheduling appointments and maintaining calendars.
- Handle incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
- Maintain office supplies inventory and place orders when necessary.
- Assist with data entry, filing, and organizing documents.
- Transcribe meeting minutes and other important documents accurately.
- Provide support to other team members as needed.
Skills:
- Strong organizational skills with the ability to multitask effectively.
- Proficient computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with computerized office systems is preferred.
- Previous experience as a personal assistant or in an administrative role is a plus.
- Excellent clerical skills, including typing, filing, and record keeping.
- Attention to detail and accuracy in all tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with dental office procedures is desirable but not required.
- Exceptional customer service skills for front desk interactions.
