What are the responsibilities and job description for the Office Assistant position at Trepp?
This position reports to the Director, Facilities & Office Management. The Office Assistant position monitors inventory and places orders for office supplies and provisions, processes mail, tracks attendance and maintains the common areas. This person also provides backup for receptionist, handling phone coverage, lunch plan and visitors. You will also be assisting with planning and coordinating office-wide processes such as facilities maintenance, moves and events.
Specific responsibilities include:
- Inventory/Ordering: Manage office supplies inventory and place orders as necessary
- Manage kitchen including daily maintenance and inventory; restocking beverages, snacks and supplies regularly
- Receive, sort, and distribute mail throughout the office
- Sends out packages and mail as needed
- Perform back-up for reception: greet visitors, and answer direct phone calls
- Assist with special events as needed
- Maintaining clean and organized office spaces
- Keeping the reception and common areas tidy and observing professional etiquette.
- Perform other duties and responsibilities as required, assigned, or requested
Required skills/qualifications:
- High school diploma or GED
- 1 years of experience in a similar role preferred
- A self-starter, with strong organizational skills, good judgment, and ability to execute multiple tasks effectively
- Customer service-oriented mindset with a friendly and professional demeanor
- Excellent communication (written/verbal) and interpersonal skills
- Strong office technology skills (e.g. Microsoft Office) and experience with using technology to organize information and activities
- Ability to work with people with a high degree of professionalism, both internally and externally
- Inventory management experience
- Ability to lift/move up to 40lbs

Salary:
$50k plus bonus eligible
