Position Summary:
Responsible for secretarial support and other related duties of the department. Answers phone calls, schedules appointments, orders supplies, performs data entry, files, organizes, makes copies, other duties as assigned. May support more than one department (i.e. education, regulatory, research, risk management).
Major Position Responsibilities:
The position characteristics reflect the most important duties, responsibilities and competencies considered necessary to perform the essential functions of the job in a fully competent manner. - Maintains a safe, clean working environment, including unit based safety and infection control requirements.
- Answers phone, takes meeting minutes, orders supplies, and distributes and sends mail.
- Ability to run reports out of database systems and perform data entry into systems.
- Responsible for typing of dictated minutes, letters, and memorandums.
- Assists in coordinating and organizing, notifying participants, scheduling, and creating meeting agendas.
- Maintains and updates all manuals and reports deemed important and necessary by the department manager or director.
- Sorting and distribution of all mail, using proper judgment in prioritizing and ensuring that urgent items are brought to his/her attention.
- Assists in preparation for special projects and other tasks.
- Assists with conferences and other hospital related activities, including expense reimbursements.
- Respects and maintains confidentiality of highly sensitive information
- Ordering/renewal of subscriptions, produce check requests for conferences/seminars, and assists in the ordering of supplies.
- Performs additional secretarial duties as directed.
- Performs additional department specific assignments as directed.
- Schedules policy & procedure meetings; types agendas, revises policies & procedures, routes through appropriate committees (Education Department).
- Receives, follows up on, and logs patient compliments and complaints (education, regulatory, research or risk management departments).
- Prepares monthly regulator log for PAC (education, regulatory, research or risk management departments).
- Assists in daily rehab scheduling under the direction of the supervisor (Home Health only)
- Assists in monthly staff schedules as directed (Home Health only)
Qualifications:
- Ability to type 50 wpm accurately
- Minimum of 2 years secretarial experience, required.
- Course in Medical Terminology, required (education, regulatory, research or risk management departments only).
- Knowledge of computer functions and current software applications.
- Has shorthand or speed writing skills with dictation and transcription experience, preferred.
- Ability to communicate effectively utilizing both written and verbal skills.
- Ability to sit at a desk for extended periods of time.
- Ability to prioritize daily workload to meet multiple deadlines.
Education:
- High school diploma or GED, required.

*Salary/Hourly Wage range based on experience.
