Job Title : HR / FINANCE ASSOCIATE

Reports To : CFO

FLSA Status : Exempt - Salaried

General Job Description :

Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

Performs all HR functions of personnel and credentialing paperwork. May assist with payroll functions including processing, answering employee questions, fixing processing errors, and onboarding new employees working with department heads in training.

Insure all appropriate State & Federal requirements are met. Ensures staff are kept informed of changes and updates. Assists the CFO in the Accounts Payable functions as required.

Qualifications :

  • Education : Bachelor's degree
  • Experience : 1-3 years' experience in human resources
  • Experience : 1-3 years’ experience in accounting

Accreditations or Certifications / Licenses Required :

PHR or SHRM-CP certification a plus

HR Job Responsibilities :

  • Provide any necessary reports for the Finance Department

Finance

Job Responsibilities :

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Charges expenses to accounts, class, and cost centers by analyzing invoice / expense reports, recording entries.
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling, and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
  • Ensures credit is received for outstanding memos.
  • Issues purchase order amendments.
  • Reimburse employee expense reports by receiving and verifying expense reports and requests for advances, acquiring proper authorization signatures, preparing checks.
  • Maintains accounting ledgers by verifying and posting account back up documents to transactions.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Maintains historical records by scanning and filing documents.
  • Assists in monthly and yearly reporting to include Audits, 990, etc.
  • Reports sales taxes by calculating requirements on paid invoices.
  • Protects organization’s value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities.

Essential Job Duties & Responsibilities :

  • Serves as a link between management and employees by handling questions, interpreting, and administering employee contracts and helping resolve work-related problems.
  • Analyzes and modifies compensation and benefits policies to establish competitive programs and ensure compliance with legal requirements.
  • Advises managers on organizational policy matters such as equal employment opportunity and sexual harassment and recommends needed changes.
  • Performs staffing duties, including dealing with understaffing, refereeing disputes, terminating employees, and administering disciplinary procedures.
  • Plans and conducts new employee orientations to foster positive attitude toward organizational objectives.
  • Reviews, endorses, or makes recommendations for hiring, staff raises, promotions and reclassifications.
  • Ensures performance appraisals for staff are up to date and determines need for disciplinary action.
  • Makes recommendations or approves plans for staff training and professional development.
  • Administers compensation, benefits and performance management systems, and safety and recreation programs.
  • Directs the dissemination, interpretation, and application of company policies.
  • Maintains currency on existing and pending legislation to ensure overall compliance with regulatory requirements.
  • Ensures staff are kept informed of changes and updates.
  • Interacts with company management and employees to provide guidance, assistance, and expertise.
  • Resolves issues and requests presented by management and employees.
  • Provides consultative services and / or meets with concerned parties to discuss issues and requests and determine the best course of action for effective resolution.
  • Prepares and follows budgets for personnel operations.
  • Maintains records concerning personnel-related data such as hires, transfers, performance appraisals, and absenteeism rates, and communicates concerns to appropriate leadership staff
  • Insures managerial staff is conducting annual training
  • Informs the appropriate personnel of new hires and insures user id and passwords, computer access, training and payroll is informed
  • Conducts exit interviews to identify reasons for employee termination.
