Purpose: The accounts receivable specialist is responsible for high volume invoices to customers, payment posting, collections for multiple companies. Must have meticulous attention to detail, organization, excellent communication skills to answer questions for customers, solve issues, and keep them updated with relevant account information.

Salary Range: $23-$29 dollars per hour, DOE

Job Skills/Requirements

Essential Job Duties and Responsibilities:

  • Create customer invoices on contract specifications for multiple companies.
  • Send invoices to customers in a timely manner via email, software, etc.
  • Assist with opportunities to improve billing efficiency and accuracy.
  • Customer collections to ensure timely payments and update weekly AR with notes on payment status weekly.
  • Review sales tax calculations when needed.
  • Collaborate with other departments, such as sales, operations, and HR to ensure smooth and efficient billing.
  • Respond to billing inquiries and resolve billing issues as needed.
  • Work with Accounts Payable to ensure all extra labor is billed each month if applicable.
  • Assist in research for monthly job revenue variances.
  • Responsible for creating and maintaining documentation for billing procedures.

Knowledge, Skills and Experience required (unless otherwise noted):

  • Bachelor’s degree in Finance, Accounting, or Business preferred
  • Minimum of 2 years of professional work experience
  • Excellent interpersonal and communication skills
  • Incredible attention to detail
  • Sales/Use Tax experience a plus
  • Bilingual in Spanish a plus
  • Excellent computer skills including proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Must have a technical aptitude.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Basic mathematics skills and accounting aptitude.
  • Experience in a variety of accounting software packages.
  • Excellent verbal, written, interpersonal/internal communication and customer service skills.
  • Excellent organization and time management skills.
  • Demonstrates a solid work ethic and exhibits professional and acceptable behaviors at all times.
  • Is self-motivated, organized and success driven and is capable of being self-motivated and self-directed.
  • Demonstrated analytical and strong problem-solving skills.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Demonstrated ability to multi-task, work well under pressure and meet deadlines.
  • Demonstrated ability to work effectively in a diverse workforce and team environment.

  • May include lifting up to 25 pounds for files on occasion. Proper lifting techniques required.
  • May include occasional walking up and down stairs.

Material and Equipment Directly Used:

  • Computer with Microsoft Office, accounting, WinTeam, and information retrieval software applications.
  • Mouse and keyboard.
  • Telephone/ Headset (occasionally).
  • Facsimile (occasionally).
  • Copy machine with scanner and printer.
  • Ten-key or other advanced calculator.

Job Type: Full-time

Pay: $23.00 - $29.00 per hour
