Triffletti & Costa P.C is in immediate need of an Administrative Assistant. This person would be responsible for providing administrative and clerical support for the office. Duties include activities such as answering phones, drafting correspondence and scheduling appointments using Microsoft Outlook. Extreme professionalism, a polished presentation, and experience in a business or legal office are required for this position, as well as an outgoing personality and ability to multitask.
Responsibilities:
· Screen and manage all incoming calls
· Schedule all client appointments
· Meet, greet and seat all Clients and Visitors
· Arrange, confirm and manage detailed calendars for attorneys
· Receive, sort and scan/distribute all mail
· Perform general tasks including, but not limited to, preparing correspondence, scanning, file organization and research requested information
· Daily errands as needed to courthouse, bank, etc.
· Perform other related projects and duties, as requested by the team
· Enter attorneys’ billable time into software
· Maintain and order supplies
· Maintain Social Media
Requirements:
· 3 years of experience in an administrative capacity in a business office setting
· Superior presentation and communication skills (written and oral)
· Excellent organizational skills
· “Can do” attitude with willingness to support all staff and ability to multitask
· Ability to work independently with minimal supervision
· Confident, eager, high attention to detail
· Proficient in Microsoft Outlook and Word
· Knowledge in Timeslips (billing software) a plus, but will train the right person
